As we continue to grow, we are looking for a highly organized, dedicated Front of House Receptionist to take complete ownership of our patient journey and administrative workflow.
The Role: Please note: This environment is fast-paced, can be highly stressful, and requires an exceptional level of organization and time management.
You will be the face and voice of the clinic, acting as the ultimate gatekeeper for our schedule. If you thrive in an environment where you can organize chaos, build relationships with patients, and run a tight ship without the pressure of having to assist chairside, this is the perfect position for you. While you will not be required to perform chairside dental nursing, this is a highly blended role that includes critical operational and decontamination duties alongside front desk management.
Core Administrative Responsibilities:
- Diary Management & Patient Communication: Managing the schedule via Aerona and Google Calendar, answering phone calls, handling emails, and carrying out patient reminder communications.
- Financial Administration: Accurately handling card and cash payments, issuing deposit links, and maintaining financial records.
- Workflow Coordination: Updating patient statuses on the system promptly and tracking the patient journey.
- Record Keeping: Maintaining strictly accurate and up-to-date records in accordance with practice standards.
- Task Management: Completing all assigned administrative tasks efficiently within designated timeframes.
- Communication: Maintaining proactive communication regarding requested tasks, including promptly acknowledging receipt of requests, providing progress updates, and communicating any potential delays in a timely manner.
Operational Support & Additional Duties: To ensure the smooth operation of the practice, this role requires high flexibility. You will be required to undertake duties beyond the front desk, including but not limited to:
- Decontamination Room: Processing, scrubbing, and decontaminating clinical instruments.
- Premises Maintenance: In rotation with other staff, cleaning all rooms and areas of the practice, including the toilet, as well as the front and back of the building.
- Marketing & Compliance: Assisting with compliance logs, marketing activities, and local leaflet drops.
- Cross-Business Support: Assisting the optician side of the building when necessary.
- General Flexibility: Carrying out any other reasonable duties considered to be within your skill and competence to assist with the running of the practice and facilitate patient treatment, as deemed necessary by management.
Performance & Conduct Expectations:
- Punctuality and Attendance: Strict punctuality is required.
- Professional Conduct: Adherence to a strict no-phone/social media policy during working hours is mandatory.
- Patient Relations: You must maintain a highly professional and courteous demeanor at all times .
- Equipment Handling: All practice equipment and instruments must be handled with care.
