Herts Cooling Ltd is a family-run refrigeration and air conditioning contractor covering London and the Home Counties. We have around 30 staff and a busy Service Department, and we’re looking for a Service Coordinator to help keep everything running smoothly.
You’ll be responsible for coordinating engineers, managing reactive callouts alongside planned work, and keeping customers informed throughout the process. Priorities can change quickly, so you’ll need to be organised, confident making decisions and comfortable managing several things at once.
You’ll be an important link between our customers, engineers and suppliers, helping to make sure jobs are scheduled, progressed and completed as efficiently as possible.
You don’t need previous refrigeration or air conditioning knowledge to do this role well. What matters most is being organised, good with people and able to stay calm and make sensible decisions when things get busy.
What You’ll Be Doing
- Taking service requests by phone and email and entering them into the system
- Booking engineers for breakdowns and planned maintenance
- Prioritising jobs based on urgency and engineer availability
- Keeping customers updated on the progress of their jobs
- Adjusting engineer diaries as priorities change throughout the day
- Building strong relationships with customers and becoming someone they can rely on
- Following up with engineers and suppliers to keep jobs moving
- Helping with quotes, remedial works and service paperwork when needed
What We’re Looking For
Well organised, with good attention to detail
- Confident speaking with customers on the phone and communicating by email
- Able to manage multiple priorities without losing track of the detail
- Someone who genuinely wants to help people and solve problems
- Comfortable making decisions and taking ownership
- Able to stay calm and organised when things get busy
- Comfortable using everyday IT and office systems
Experience That Would Help
Experience in any of the following would be useful, but not all are essential:
- Working as a Service Coordinator, Controller, Scheduler or Planner
- Coordinating engineers or another mobile workforce
- Customer service or account management
- HVAC, facilities management or a similar service industry
What Good Looks Like
After around six months, you should be confidently managing the engineer diary, balancing reactive and planned work and working independently in the role.
You’ll understand our customers and the way the Service Department operates, and you’ll be someone both customers and engineers know they can rely on to keep things moving.
