Service Oversight and Coordination
The Service Coordinator is responsible for the day-to-day operational oversight of the service, ensuring safe, effective and person-centred care delivery. They ensure tasks, actions and concerns are followed through to completion, maintaining a well-organised and responsive service.
Line Management and Staff Support
The Service Coordinator provides line management support to care staff, including Team Leads where applicable. They oversee performance concerns, development needs and required follow-up actions in line with company procedures.
Care Planning and Reviews
The Service Coordinator oversees the development, review and maintenance of care plans and risk assessments, ensuring they remain accurate, person-centred and reflective of individual needs.
They ensure client reviews and support assessments are completed within required timescales, with any changes in needs or risks appropriately identified and managed.
Rota and Staffing Oversight
The Service Coordinator is responsible for ensuring safe staffing levels and effective rota management.
This includes:
- Ensuring rotas are planned in advance
- Monitoring staffing gaps and shortages
- Reviewing and approving schedules
- Managing changes due to absence or service requirements
- Ensuring working time compliance is maintained
Although tasks may be delegated, the Service Coordinator remains accountable for overall rota oversight.
Quality Assurance and Compliance
The Service Coordinator ensures quality and compliance standards are maintained across the service.
Responsibilities include overseeing:
- Spot checks
- Medication audits
- Support meetings
- Probation reviews
- Care plan reviews
- Compliance checks
They review outcomes, ensure actions are completed and maintain inspection readiness.
Incident, Complaint and Risk Management
The Service Coordinator is responsible for reviewing and managing incidents, accidents, medication errors, complaints and service concerns.
They ensure investigations, documentation, risk management and follow-up actions are completed appropriately, escalating concerns when required.
Systems, Trackers and Documentation
The Service Coordinator maintains accurate records and oversight of service systems, including:
- Client and staff trackers
- Recruitment records
- Incident and medication trackers
- Spot check records
- Annual leave and absence records
- RAG status monitoring
- Service communication records
- Atlas, SharePoint and OnCare systems
They ensure documentation is accurate, updated and completed within required timescales.
Recruitment and Staff Development
The Service Coordinator supports recruitment and onboarding by:
- Assisting with interviews
- Arranging training
- Organising shadow shifts
- Ensuring new starters complete induction and compliance requirements
They oversee staff development activities, including Mentorship meetings, probation reviews and support meetings, ensuring outcomes are recorded and followed up.
Communication and Multi-Agency Working
The Service Coordinator maintains effective communication with staff, families and external professionals, including healthcare and social care partners.
They ensure important communication is recorded appropriately and concerns are responded to promptly.
Escalation and Accountability
The Service Coordinator reports to the General Manager and is responsible for escalating significant risks, complex concerns and unresolved issues appropriately.
They provide accurate updates and seek guidance where additional support is required.
Overall Accountability
The Service Coordinator provides overall operational leadership for the service, ensuring:
- Care delivery is safe and effective
- Staff are supported and managed appropriately
- Compliance requirements are met
- Reviews and audits are completed
- Risks and concerns are addressed
- Delegated actions are followed through
The Service Coordinator retains responsibility for line management, formal processes, investigations and escalation of complex matters.
