Clinic Receptionist / Coordinator (Long-Term) — Job Spec
We’re looking for a super organised, proactive Receptionist / Clinic Coordinator to become a long-term part of our clinic family. This role is for someone who naturally takes initiative, keeps the clinic running on time, stays on top of stock and daily operations, and delivers exceptional customer service from the moment a client walks in.

Role Overview
As our Receptionist / Clinic Coordinator, you’ll be the face of the clinic and the person who keeps everything flowing smoothly behind the scenes.
You’ll welcome clients, manage the diary, support the team with day-to-day clinic organisation, maintain stock control, and help with social media content capture/coordination — ensuring the clinic runs efficiently, calmly, and on time.
Key Responsibilities
Front of House + Client Experience
Deliver a warm, professional welcome to every client (luxury service, always).
Create a calm, reassuring environment and ensure clients feel looked after throughout their visit.
Handle client queries in person, by phone, WhatsApp and email with confidence and care.
Support client journeys: pre-appointment guidance, aftercare reminders, follow-ups where needed.
Diary + Clinic Flow (Running On Time)
Manage the appointment diary with precision to ensure the clinic runs smoothly and on schedule.
Coordinate room availability, practitioner schedules, and treatment timings.
Anticipate delays and problem-solve quickly to protect the client experience
.Keep the day structured: prep lists, daily priorities, and smooth handovers.
Stock Control + Clinic Organisation
Maintain accurate stock counts (daily/weekly checks depending on item type).
Track usage, flag low stock early, and place orders in time to avoid shortages.
Keep stock rooms organised, labelled, tidy, and easy for the team to use.
Receive deliveries, check invoices/packing lists, rotate stock, and maintain cleanliness/organisation.
Daily Clinic Operations + Initiative
Take ownership of daily clinic readiness: reception area, treatment rooms (as needed), and overall presentation.
Keep standards high: tidy, polished, and “everything in its place.”
Support admin tasks including forms, confirmations, payments, and general clinic coordination.
Spot gaps in systems and suggest improvements (we love someone who thinks ahead).
Social Media Support (Light + Organised)
Assist with simple content capture: before/after organisation (where appropriate), behind-the-scenes clips, team moments, clinic vibe.
Help keep content organised for posting (sending to the right person, saving to folders, noting what was filmed).
Support the brand experience by maintaining a beautiful, consistent front-of-house presentation.
Requirements
Previous experience in a receptionist / clinic coordinator / front-of-house role (medical, dental, aesthetics, or similar).Extremely organised, reliable, and detail-focused — you don’t let things slip.Confident communicator with a warm, friendly, professional manner.Takes initiative and works independently without needing constant direction.
Presentable, polished, and comfortable in a luxury client environment.
Comfortable with admin systems, booking software, and handling client information confidentially
