Overview
Hewlett Swanson is a well-established law firm seeking a Junior Administrative Assistant to provide maternity cover to the end of March 2027. This part-time role is ideal for someone at the early stages of their administrative career who is looking to gain experience within a professional legal environment.
You will work closely with fee earners and the wider administration team, assisting with day-to-day administrative tasks and helping to ensure the smooth running of the office.
Key Responsibilities
- Providing general administrative support to fee earners and administrative staff
- Answering telephone calls and handling emails in a professional manner
- Preparing, formatting, and proofreading documents and correspondence
- Perform clerical duties such as photocopying, scanning, and maintaining office supplies
- Maintaining electronic and paper filing systems
- Booking appointments/setting up meetings and assisting with diary management
- Supporting client enquiries
- Client file opening
- Assisting with billing, time recording, and other administrative tasks as required
About You
- 5 GCSEs at grades 9 – 4 (A* - C), or equivalent including English and Maths
- Ability to reliably commute to Manchester City Centre essential
- Some previous administrative or office experience especially in a law firm is desirable, but not essential
- A willingness to learn and develop within a legal environment
- Good planning and organisational skills and a high level of attention to detail
- Strong typing skills and experience using Microsoft Office/365 applications, particularly Word, Outlook and Excel
- Excellent, professional verbal and written communication skills
- Self-motivated with a positive and proactive attitude
- Ability to handle confidential information responsibly
- Ability work as part of a team and time management essential
What We Offer
- Part-time hours: 30 hours/week 09:00 – 17:30 four days a week (days to be agreed), with a 1-hour lunch break
