We're looking for a friendly and organised Visitor Services Administrator to help keep our Front of House, Bar and volunteer teams running smoothly as we deliver an exciting programme of world-class concerts and events.
24 hours (3 days) per week (spread across Tues-Fri)
£19,968 per annum (£33,280 pa FTE)
Job Purpose
To be the administrative hub of Saffron Hall's Visitor Services operation, ensuring the efficient coordination of Front of House, Bar and volunteer activities that enable the successful delivery of a diverse programme of world class concerts and events. Working closely with the Operations Director and wider team, you will provide outstanding organisation, communication and planning, helping to deliver a first-class experience for audiences, volunteers and staff alike.
Principal Accountabilities:
- To oversee and manage volunteer communications, including weekly emails highlighting upcoming events and sign-ups required.
- To oversee the volunteer sign-up platform (Assemble), ensuring events are set up correctly, that shifts are filled and communicating with volunteers as required.
- To plan and coordinate Duty Manager rotas and send weekly Front of House event briefings to Duty Managers and Volunteers.
- To coordinate the Bar team and Bar operations including controlling the bar staff rota and other expenditure.
- To produce ordering and stock sheets and coordinate the Bar ordering process.
- To manage Bar cashing up and ordering of cash floats.
- To ensure all staff are fully briefed on running times/client information on concert and event days.
- To support administration linked to the minibus, including paperwork and coordination where required.
- Undertake all other duties and responsibilities commensurate with the role and level of this job as may be instructed by a manager.
Qualifications:
Essential
- Excellent verbal and written communication skills (face-to-face, phone and email).
- Impeccable attention to detail.
- Strong organisational skills and ability to prioritise tasks in a busy and changeable working environment.
- Excellent team working skills.
Desirable
- A good knowledge of classical music and well as other genres of music.
- An interest in working within an education setting.
Skills:
- Basic use of the Microsoft office suite and ability to learn other software systems for event management, volunteer info etc. (training on in-house office systems will be given).
- Ability to work independently and as part of a team following written and verbal instructions.
- Ability to set up and operate simple admin systems (e.g. spreadsheets).
Experience:
Essential
- Demonstrable experience of working within a busy office environment.
Desirable:
- Experience of working withing a bar and/or catering environment.
- Experience of managing a team in an events-based setting.
- Experience of working within an arts setting and/or concert hall environment as an administrator.
- Experience working in a role requiring volunteer interaction.
