Job Purpose
The Office Administrator will provide essential day-to-day administrative and operational support to ensure the smooth and efficient running of the office. The role will involve being a welcoming first point of contact for visitors and callers, supporting with financial administration, managing incoming correspondence and assisting with general office maintenance and organisation.
The successful candidate will be organised, approachable, reliable and confident managing a variety of tasks in a busy office environment.
Key Responsibilities
Financial Administration
- Complete and maintain company credit card reconciliations accurately and within agreed timescales.
- Collect and organise relevant receipts and supporting documentation.
- Liaise with colleagues where information or receipts are outstanding.
- Ensure financial records are kept organised and up to date.
Reception and Communication
- Answer and direct incoming telephone calls in a professional and friendly manner.
- Welcome visitors to the office and act as the first point of contact.
- Notify relevant members of staff when visitors arrive.
- Ensure reception and entrance areas remain presentable and welcoming.
Post and Correspondence
- Open incoming post on a daily basis.
- Sort and distribute post to the appropriate individuals or departments.
- Identify and escalate any urgent or important correspondence.
- Assist with outgoing post and other correspondence where required.
Office Maintenance and Facilities
- Help ensure the office environment is clean, organised, safe and well maintained.
- Report maintenance issues and faults to the appropriate person or external contractor.
- Liaise with contractors and service providers where required.
- Assist with arranging repairs and monitoring outstanding maintenance issues.
- Monitor office supplies and equipment and arrange replenishment where appropriate.
- Support with general office organisation and upkeep.
General Administration
- Provide general administrative support to the wider team as required.
- Maintain accurate records, filing systems and documentation.
- Assist with ad hoc projects and administrative tasks.
- Support with maintaining a professional and efficient office environment.
- Carry out other reasonable duties appropriate to the role.

- Previous experience in an administrative or office-based role.
- Excellent organisational and time management skills.
- Strong attention to detail.
- Good written and verbal communication skills.
- Confident answering telephone calls and dealing with visitors.
- Ability to manage a varied workload and prioritise tasks effectively.
- Good IT skills, including Microsoft Office.
