The Role
We’re looking for an experienced and highly organised Executive Assistant to provide high-level support to our Managing Director, Services, and the wider Services Leadership Team.
This is much more than a traditional diary-management role. You’ll act as a trusted partner to the Managing Director, helping to manage priorities, coordinate key stakeholders, prepare executive-level information and ensure the Services leadership team operates effectively.
You’ll be working in a fast-paced environment where discretion, judgement and the ability to anticipate what’s needed are essential. From managing a complex diary and preparing Board and Executive Committee materials, to coordinating leadership events and keeping key actions on track, you’ll play an important role in helping the leadership team deliver its priorities.
What you’ll be doing

Proactively manage the Managing Director’s diary, balancing competing priorities and identifying opportunities to optimise their time.

Manage and prioritise incoming correspondence and emails, ensuring important actions are identified and followed through.

Act as a key point of contact for senior internal and external stakeholders, building strong and professional relationships.

Prepare and quality assure presentations, reports, briefing notes and communications for senior and executive audiences.

Coordinate Executive Committee, Board and leadership meetings, including agendas, papers, minutes and action tracking.

Prepare comprehensive meeting packs and briefing materials to ensure senior leaders are fully prepared.

Maintain action logs and proactively follow up on key commitments and deadlines.

Coordinate internal and external events, conferences, site visits and stakeholder engagements, managing everything from logistics and venues to communications and attendee experience.

Provide organisational and administrative support to the wider Services Leadership Team.

Work closely with other Executive Assistants across the business to ensure a coordinated and effective approach to supporting our senior leadership group.

Handle highly confidential and commercially sensitive information with absolute discretion and professionalism.
What we’re looking for
You’ll be an experienced Executive Assistant who is confident working with Executive Directors, Board-level leaders or senior leadership teams within a complex and fast-paced organisation.
We’re looking for someone who:

Has significant experience supporting senior or executive-level leaders.

Is exceptionally organised, proactive and able to manage multiple competing priorities.

Has excellent judgement and can anticipate what is needed rather than simply react to requests.

Is confident managing complex diaries and coordinating senior-level meetings and events.

Can produce high-quality presentations, reports, briefings and correspondence.

Builds strong relationships and is confident communicating with stakeholders at all levels.

Has excellent written, verbal and numerical skills.

Demonstrates a high level of discretion when dealing with confidential information.

Has excellent knowledge of Microsoft Office, particularly Word, Excel and PowerPoint.

Takes ownership, works proactively and is comfortable operating with a high degree of autonomy.
