Vulcan Jewellery and Affinity Fine Jewellers are looking for a highly organised, detail-focused Jewellery Office & Operations Assistant to join our growing team in Southend-on-Sea.
Vulcan Jewellery is a bespoke jewellery manufacturer working with trade clients across the UK, while Affinity Fine Jewellers serves direct-to-consumer clients with bespoke jewellery, remodelling and sentimental pieces.
This role sits at the centre of our office, workshop and customer workflow. You will support job booking, customer communication, job tracking, quality control administration, dispatch preparation and general operational coordination.
The role would suit someone who is accurate, reliable, calm under pressure and able to follow processes carefully. Jewellery experience is helpful, but strong administration skills, attention to detail and the right attitude are more important.
This is a local, office-based role in Southend-on-Sea. Applicants must already live within a realistic commuting distance. Overseas applications will not be considered.

Responsibilities
- Accurately book in customer and trade jewellery jobs
- Check job details including ring sizes, metal type, stone details, deadlines and customer instructions
- Update job records and statuses within our internal systems
- Support both B2B trade work and direct-to-consumer Affinity orders
- Help prepare jobs for the workshop, quality control and dispatch
- Assist with customer and trade client communication by email and phone
- Support the team with quotes, repair notes, bespoke design details and production updates
- Check paperwork, job bags and customer information for accuracy
- Help organise incoming and outgoing parcels
- Support dispatch preparation, including packaging and courier/royal mail processes
- Keep office and job records organised and up to date
- Flag missing information, errors or inconsistencies before they become problems
- Work closely with the office and workshop team to keep jobs moving smoothly
Requirements
- Must live within a realistic commuting distance of Southend-on-Sea
- Must have the right to work in the UK
- Excellent attention to detail

- Clear written and verbal communication
- Confident using computers, email and online systems
- Able to follow instructions and established processes carefully
- Reliable, punctual and professional
- Comfortable working in a busy office/workshop environment
- Able to handle valuable jewellery and customer items with care
- Willing to learn about jewellery, repairs, bespoke design and production processes
Preferred Experience
- Jewellery, luxury retail, workshop, repairs, admin or customer service experience
- Experience in a detail-heavy office role
- Experience handling customer orders, job tracking, dispatch, stock control or quality control
- Experience working with high-value goods or sensitive customer items
About You
You should be someone who takes accuracy seriously. Small mistakes in jewellery can cause delays, extra cost and customer issues, so this role requires care, consistency and accountability.
You do not need to know everything about jewellery from day one, but you must be willing to learn, ask questions and follow processes properly.
