What you'll help create
First impressions matter. You'll ensure every client and guest receives a warm welcome from the moment they arrive. You'll keep the reception space visible, approachable and be ready to help throughout the day.
You'll prepare meeting rooms, coworking, and any other shared spaces so they're always ready before clients need them. From technology checks to ensuring high presentation standards, you'll remove friction before anyone notices it's there.
Attention to detail, even behind the scenes
Great experiences rely on countless small details.
You'll monitor stock, report maintenance issues quickly and keep our buildings operating smoothly, helping every client enjoy a workspace that simply works.

A Day in the Life of a Client Experience Assistant
The day starts before most of our clients arrive. On the way in I'm already thinking ahead, hoping the tube is running on time, but I've always got my bus or bike backup route just in case.
I arrive just as the morning deliveries are coming in. While stocking kitchens across the building, I complete my opening checks, making sure every shared space is ready for the day ahead.
We've got a busy meeting room schedule today, so I prepare those first. Every room is set up, technology checked and ready before our clients need it. While I'm there, I also check our coworking space. These are some of the busiest areas in our buildings, and creating a welcoming environment starts long before anyone arrives.
One of my favourite parts of the day is welcoming clients as they arrive. Whether it's a client I see every morning or a guest visiting for the first time, I want everyone to feel comfortable from the moment they walk through the door.
If meeting room guests haven't visited us before, I show them to our coworking space, offer refreshments and make sure they have everything they need before their meeting begins
Once another member of the team arrives, I continue with my daily building checks. We always keep reception covered because the first impression is crucial.
With the morning checks complete, I update our systems and work through the client requests that have come into our shared inbox. Every question is different, but that's what I enjoy. Helping clients have a smoother, easier workday is what we're here for.
After a busy morning, it's time for lunch. Today there's a coffee tasting event in one of the breakout spaces, so it's a good opportunity to catch up with colleagues and clients before the afternoon begins.
We have a new client moving in later this week, so the team spends some time preparing their access cards and welcome pack. It's exciting knowing we'll soon be welcoming another business into the building.
Later in the afternoon, I head back out for another building walk. Keeping our spaces looking their best is something we're all responsible for. I notice one of the kitchens needs a quick tidy before the cleaners arrive, so I sort it. Small moments like that make a real difference to everyone's experience.
Back at reception, my colleague has already organised the incoming post, so I deliver it around the building. It's another chance to catch up with clients and build relationships, while always being mindful not to interrupt their work. That's one of the things I enjoy most about this role. Every client works differently, and getting to know them means we can support them in ways that really matter.
While I'm delivering the post, clients hand over outgoing mail ready for collection. I take it back to reception where my colleague prepares everything for dispatch. We naturally divide the work between us, which keeps the day moving and makes every day a little different.
Our Client Experience Manager is busy showing a prospective client around the workspace, so I jump onto an internal Teams call to represent the building. Everyone pitches in where needed, and that's what makes the team work so well.
Later, I complete our weekly Health and Safety checks and make sure the first aid kit is fully stocked. Hopefully it won't be needed, but it's important that everything is exactly where it should be if it ever is.
Before I leave, I check tomorrow's meeting room schedule and send the next day's visitor list to the building reception team, making sure every guest's journey through the building is as seamless as possible.
Home time. I get off the tube one stop early because I'm in a weekly step challenge with one of our clients. It's a bit of friendly competition, but it's also another reminder that the relationships we build here go beyond simply managing a workspace. That's what makes this role so rewarding.
