Job Description
The Membership & Racket Sports Officer will provide efficient and professional administrative support for all racket sports activities within the Club, ensuring the smooth delivery of programmes, competitions, and coaching schedules. The role will also oversee all aspects of membership administration and engagement, including maintaining accurate records, processing applications and renewals, reporting non-renewals, and coordinating member communications. A strong focus on customer service, organisation, and attention to detail will be essential, as the postholder will play a key role in integrating new members, improving retention rates across all membership categories, and supporting the development of an excellent overall member experience. The postholder will also support the Club’s growth by promoting membership benefits and initiatives.
The Membership & Racket Sports Officer will work closely with Club Management, Head of Tennis & Padel, and Head of Squash & Racketball to ensure consistency and alignment across all racket sports operations. The position is for 30 hours per week (typically between 8.00am–8.00pm, Monday–Friday, with occasional weekend work to support Club events and tournaments) and working hours to be arranged as required by the needs and demands of the Club.
Skills & Experience Requirements
The ideal candidate will demonstrate the following skills, experience, and attributes:
- Previous administrative experience (sports administration preferred)
- Strong organisational and multitasking skills
- Excellent communication and interpersonal abilities
- Proficiency in Microsoft Office and scheduling software
- Experience using membership management systems (CRM databases desirable)
- Ability to work independently and collaboratively as part of a team
- Flexible approach to working hours, with availability for evenings and weekends during events or busy periods
Key Responsibilities
The role will focus on five main areas:
Administrative Support
- Maintain accurate records of memberships, bookings, coaching sessions, and tournaments.
- Manage the court booking system and liaise with members regarding availability and scheduling.
- Handle day-to-day enquiries (phone, email, and in person) relating to memberships and racket sports.
- Work closely with Club Management, Head of Tennis & Padel, and Head of Squash & Racketball to ensure consistent ways of working.
- Play an active role on the Club’s Safeguarding Committee.
Coaching & Programmes
- Assist in coordinating coaching timetables and liaising with coaches regarding availability and attendance.
- Support registration and communication for junior and adult coaching programmes.
- Help manage joint racket sports holiday camps and special events.
- Organise and administer free trials for all racket programmes, following up to ensure maximum conversion to regular bookings.
Events, Open Days & Competitions
- Support the planning and delivery of internal and external competitions, leagues, and social events.
- Liaise with governing bodies and leagues to ensure compliance and accurate entry details.
- Provide clear communication of schedules, rules, and results to participants.
- Develop and publish an annual calendar of ‘Open Day’ events to attract new players and members.
- Assist in the preparation of an annual events calendar for the Club.
Financial & Reporting Duties
- Manage payments for bookings, coaching sessions, and events.
- Track participation data and assist in preparing reports for management.
- Monitor budgets for racket sports programmes and report any discrepancies.
- Collate coaches’ invoices each month for verification and approval by the relevant Head of Department.
- Work with the accounts team to ensure all relevant income is collected, including fees from non-members attending Club sessions.
- Support the conversion of programme participants into full Club members.
Membership Administration
- Maintain accurate and up-to-date membership records and databases.
- Oversee applications, renewals, cancellations, and upgrades.
- Act as the main point of contact for membership queries and concerns.
- Provide timely, professional responses to emails, phone calls, and in-person enquiries.
- Support members in accessing Club facilities, events, and programmes.
- Focus on member integration and improving retention across all membership categories.
- Assist in the development of strategies to enhance the overall member experience at the Club.
- Ensure data protection and confidentiality of all membership records.
- Prepare membership reports and statistics for management and Board meetings.
