About the Role
We are seeking an experienced and practical Facilities Manager to take responsibility for the effective management, maintenance, security and safe operation of the Club’s physical estate, including the Clubhouse and Yacht Haven.
This is a varied, hands-on management role combining planned and reactive building maintenance, contractor management, security, waste management and sustainability, together with oversight of the Club’s Health & Safety compliance arrangements.
Working closely with the General Manager and other members of the management team, you will ensure that our buildings, facilities and infrastructure are well maintained, safe, secure and fit for purpose. You will develop and manage a forward maintenance programme, identify priorities before they become problems, coordinate contractors and suppliers, and ensure work is completed to the required standard and within budget.
You will also oversee the systems and processes through which the Club meets its Health & Safety obligations, working with our external professional advisers where specialist H&S expertise is required.
The role requires someone who is comfortable moving between practical day-to-day facilities issues and longer-term planning and compliance. Given the nature of a busy yacht club, some flexibility may occasionally be required during major events or when urgent facilities issues arise.
Key Responsibilities
1. Building Maintenance & Facilities
· Take ownership of the day-to-day condition, maintenance and effective operation of the Clubhouse, Yacht Haven and associated facilities and infrastructure.
· Develop and maintain a planned preventative maintenance programme, identifying priorities, anticipated expenditure and longer-term requirements.
· Coordinate and oversee reactive maintenance, ensuring faults and defects are addressed promptly and effectively.
· Carry out regular inspections of the Club’s buildings, plant and facilities and provide condition and maintenance reports to the General Manager.
· Source, brief, coordinate and supervise contractors and suppliers, ensuring work is completed safely, efficiently and to the required standard.
· Obtain and assess quotations and ensure good value from contractors and suppliers.
· Ensure appropriate contractor documentation and controls are in place, including RAMS, permits to work and CDM requirements where applicable.
· Maintain accurate records relating to servicing, inspections, warranties, maintenance and statutory testing.
· Manage the Facilities budget and contribute to annual capital expenditure and maintenance planning.
· Support the planning and delivery of building improvements, refurbishments and other facilities projects.
· Maintain oversight of key plant, utilities and building systems and ensure statutory servicing and inspection requirements are met.
2. Security
· Take responsibility for the effective operation of the Club’s physical security arrangements across the Clubhouse and Yacht Haven.
· Maintain and oversee CCTV, access control, alarms and other security systems.
· Manage the out-of-hours security team, ensuring appropriate rostering and effective use of their duty hours.
· Regularly review security risks, procedures and arrangements and recommend improvements where required.
· Ensure security has an appropriate and visible profile throughout the Club and that staff and Members understand their responsibilities.
· Liaise with emergency services, security contractors and other relevant organisations when necessary.
· Ensure appropriate arrangements are in place for opening, closing, keys, access control and emergency response.
3. Waste Management & Sustainability
· Manage the Club’s waste arrangements, ensuring appropriate collection, segregation, storage and disposal.
· Ensure hazardous materials and marine-related waste, including fuel, paint and boat-maintenance waste, are handled and disposed of appropriately.
· Monitor utility consumption and identify practical opportunities to reduce energy and water use and associated costs.
· Identify and implement sensible environmental and sustainability improvements across the Club’s operations and estate.
· Work with contractors and suppliers to improve environmental performance and waste management where practical.
· Support the General Manager in developing longer-term sustainability initiatives and investment priorities.
4. Health & Safety Compliance & Governance
· Coordinate the implementation and ongoing review of the Club’s approved Health & Safety policies and procedures.
· Act as the principal internal point of contact for Health & Safety matters, working with the Club’s external professional H&S advisers where specialist or competent-person advice is required.
· Maintain the Club’s H&S management system and ensure records, inspections and statutory documentation are current and complete.
· Coordinate risk assessments across Club operations, working with departmental managers and external advisers as appropriate.
· Ensure routine statutory and safety inspections, testing and checks are undertaken and recorded.
· Coordinate the investigation and recording of accidents, incidents and near misses and ensure agreed corrective actions are completed.
· Ensure appropriate arrangements are in place for fire safety, emergency lighting, fire detection and other statutory building-safety requirements.
· Coordinate H&S induction and refresher training and maintain appropriate training records.
· Conduct regular facilities and safety inspections, reporting findings and tracking actions through to completion.
· Prepare for external H&S reviews and audits and coordinate implementation of agreed recommendations.
· Keep abreast of relevant regulatory requirements and seek specialist professional advice where appropriate.
· Promote sensible and proportionate safety awareness among employees, contractors and volunteers.
About You
Essential
· Demonstrable experience in facilities, estates, building maintenance or property management.
· Practical experience of managing planned and reactive building maintenance.
· Experience of appointing, coordinating and supervising contractors and suppliers.
· A good practical understanding of building services, plant, maintenance and statutory inspection requirements.
· Experience of managing facilities or maintenance budgets and obtaining competitive quotations.
· A sound working knowledge of workplace Health & Safety and the ability to manage compliance systems and work effectively with specialist external advisers.
· An organised and proactive approach, with the ability to identify problems, establish priorities and see actions through to completion.
· Comfortable dealing with both practical day-to-day issues and longer-term maintenance and facilities planning.
· Strong interpersonal skills and the confidence to work effectively with staff, contractors, Members and senior management.
· Good written communication and record-keeping skills.
· Competent with standard office software and digital records and facilities-management systems.
· Able to work independently and exercise sound practical judgement.
Desirable
· A recognised facilities, building management, engineering or property-related qualification.
· IOSH Managing Safely, NEBOSH qualification or other relevant Health & Safety training.
· Experience of managing facilities within hospitality, leisure, sporting, membership or similarly customer-facing environments.
· Experience of physical security systems, CCTV, access control or security management.
· Experience of listed, historic or complex buildings.
· Familiarity with marine, marina, waterfront or yacht-club environments.
· Experience of energy management, sustainability or environmental improvement programmes.
· Knowledge of CDM, contractor control, RAMS and permit-to-work systems.
· First Aid at Work certification, or willingness to obtain it.
· Sailing, powerboat or other relevant marine qualifications would be advantageous.
