Overview
As our small business continues to grow, we have an opening for another Administrative Assistant to join our office. This role is the vital backbone to our company and if successful, you'll support our office team in the daily operations of all we do.
It would be preferred for someone who has worked within a Facilities Management environment or has existing knowledge of raising POs, logging jobs, managing schedules and working well with engineers.
You'll be based in Stoke Prior, Bromsgrove on the Metal & Ores Industrial Estate. Working hours are Monday to Friday, 9am-5pm, 35 hours per week.

Role Responsibility
You will be responsible for:
Supporting the general running of the business alongside our experienced Admin Assistant and Business Owner.
Using the 'Joblogic' system to log, manage, update all jobs
Manage quotes for new jobs in a timely manner that meets our clients demands
Plan the daily/weekly diary with all jobs and ensure information is up to date for engineers to complete the job to an exceptional standard
Share jobs with engineers and communicate though-out the day
Ensuring all checked and completed documents/job-sheets/photos are uploaded within the given timescales
Organise all job sheets to be sent to clients in order to close down
Tracking the Engineers location throughout the day to support us in acting fast for urgent call-outs
Liaising with clients and subcontractors on a daily basis via phone and email - ensuring credentials are up to date
Build strong relationships with our clients and sub-contractors
Answering and directing incoming phone calls/emails
Assisting with all queries that come through the office
Ownership of work, following up on outstanding tasks, managing workload within office hours
Making hotel bookings from time to time for engineers working out of town
Ordering tools or hire equipment for specific jobs (with direction from management)

The Ideal Candidate
Excellent communication skills. This job will include written and phone contact with suppliers, customers, and colleagues. you must be an excellent problem solver and work well with others, enjoying multitasking and working in a dynamic environment.
Being a team player is essential, willing to work with colleagues/clients for the benefit of the department and the contract.
The ideal candidate must be organised and prepared for various tasks to be completed throughout the day. Ensuring the workload is managed in a timely manner.
Previous office / admin experience essential, Excel and other MS Office (or similar) skills required.
Previous experience within the construction industry would be an advantage, understanding the importance of jobs being done to a high standard, whilst meeting deadlines and remaining compliant at all times.
Requirements
- Proven experience in an administrative or clerical role.
- Examples of previous role whereby a high workload has been managed effectively and prioritised to ensure all tasks are completed in the order of importance.
- Strong organisational skills with the ability to manage multiple tasks effectively.
- Excellent phone etiquette and communication skills, both written and verbal.
- Able to adapt an approach suitable for all points of contact in the business e.g. direct team engineers, sub-contractors, clients and customers.
- Attention to detail with a commitment to accuracy in data entry tasks.
- Ability to work independently as well as part of the office team in a fast-paced environment.
- Familiarity with general office procedures and practices is advantageous. Ideally looking for someone with skills in Excel and able to create and fulfil ongoing needs to track jobs in a way that is easy for all to use.
