We are looking for a highly organised and professional Administrative Assistant to join our team. This is an excellent opportunity for someone who enjoys working in a fast-paced office environment, is confident communicating with clients, and takes pride in providing exceptional administrative support.
The Role
As an Administrative Assistant, you will play a key role in supporting the day-to-day operations of the practice. You will be responsible for ensuring administrative processes run smoothly while acting as a professional first point of contact for clients.
Key Responsibilities
- Answering telephone calls and handling client enquiries professionally.
- Managing incoming and outgoing emails.
- Greeting clients and visitors to the office.
- Maintaining accurate client records and documentation.
- Assisting with onboarding new clients and collecting required information.
- Preparing engagement letters, forms, and administrative documents.
- Supporting the accounts team with general administrative tasks.
- Organising and maintaining digital and paper filing systems.
- Monitoring office supplies and arranging orders when required.
- Following up with clients regarding documentation and outstanding information.
- Assisting with general office administration and ad-hoc duties as required.
About You
The ideal candidate will be organised, proactive, and confident when dealing with clients.
Essential Skills & Experience
- Previous administration or office support experience.
- Excellent verbal and written communication skills.
- Confidence speaking with clients by telephone and email.
- Strong organisational and time-management skills.
- Good attention to detail and accuracy.
- Professional and friendly manner.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
Desirable
- Experience working within an accountancy practice or professional services environment.
- Familiarity with accounting software such as Xero, QuickBooks, Sage, or similar.
- Experience handling confidential client information.
