About Enlite
Enlite is an new independent eye and skin clinic in Leamington Spa. We want every client to receive a warm welcome, honest advice and a safe, professional experience in a clean and well-run clinic.
We are looking for a practical, hands-on Clinic Manager to take ownership of the clinic’s day-to-day operation. This is not a corporate or senior clinical-management role. It would suit an experienced senior receptionist, treatment coordinator, team leader or assistant manager who is ready to step up and run a small team.
The role
You will be the person who keeps the clinic organised, commercially focused and running smoothly. You will lead from the front: welcoming clients, managing bookings and enquiries, supporting the team, maintaining standards and helping turn genuine client interest into bookings, repeat visits and appropriate product or treatment sales.
Your main responsibilities
- Manage the clinic’s daily opening, closing and front-of-house operation.
- Welcome clients and provide friendly, confident and professional service in person, by phone, email and messaging channels.
- Manage the appointment diary, practitioner room schedules, deposits, payments, cancellations, waiting lists and follow-up activity.
- Respond promptly to enquiries, explain the client journey and convert suitable leads into consultations and bookings without high-pressure selling.
- Encourage rebooking, follow up unconverted enquiries and support appropriate treatment-package and retail-product sales.
- Monitor enquiries, booking conversion, rebooking, cancellations, no-shows, revenue, retail sales and client feedback.
- Prepare staff rotas, coordinate holidays and sickness cover, manage daily priorities and ensure the clinic is properly staffed.
- Lead short team briefings, support training and provide clear day-to-day direction and feedback.
- Maintain high standards of cleanliness, presentation, laundry, treatment-room readiness and shared areas using documented checklists.
- Manage stock levels, deliveries, supplier orders, product rotation, expiry-date checks and safe storage.
- Ensure client records and required consultation, medical-history, consent and aftercare forms are complete, accurate, confidential and stored correctly.
- Follow clinic procedures for infection prevention, health and safety, fire safety, waste disposal, incidents, complaints, emergency contacts and premises issues.
- Maintain accurate daily records, reconcile payments and provide straightforward operational and sales reports to the owners.
- Liaise with practitioners, suppliers, contractors and management when required.
- Protect client confidentiality and handle personal information in line with data-protection requirements.
- Escalate clinical questions, treatment suitability, contraindications, consent concerns and adverse events immediately to the appropriately qualified practitioner.
The Clinic Manager will not give medical advice or make clinical decisions unless separately qualified and authorised to do so.
What we are looking for
- Previous experience as a team leader, supervisor, assistant manager, treatment coordinator or senior receptionist in aesthetics, beauty, wellness, dental, private healthcare, retail or hospitality.
- Strong organisation and attention to detail, with the ability to manage a busy diary and several priorities.
- A confident, approachable manner and genuine enjoyment of speaking with clients.
- Comfortable working with sales targets, following up leads and asking for bookings or rebookings in an ethical, helpful way.
- Experience preparing rotas and coordinating a small team.
- Reliable, calm and willing to take ownership when something needs sorting out.
- Comfortable using booking systems, email, spreadsheets, payment systems and basic reports.
- Good written and spoken English and a professional approach to confidential information.
- Flexibility to work some weekends and late shifts in line with the clinic rota.
Experience in clinic environment and familiarity with consultation or consent documentation would be helpful, but we value strong operational ability, common sense and the right attitude just as highly.
