Job Overview
We are seeking a highly organised and proactive Purchasing Supervisor. The successful candidate will play a key role in our operational structure, managing customer relationships, and ensuring the purchasing processes to meet the needs of the business. Your Responsibilities
Procurement Process Management
- Complete and maintain purchase orders for raw materials, goods and supplies across the business, recording purchases at the time of request and submitting them for final approval prior to ordering.
- Checking delivery notes against purchase orders to ensure that all materials have arrived intact and in the ordered quantity.
- Report any damaged goods/materials to suppliers ensuring that refunds/credit notes are obtained as appropriate.
- Manage the performance of each of the functions within the job role to ensure satisfactory standards are achieved in all aspects, e.g., customer satisfaction, quality, work performance.
Supplier Management
- Monitor and evaluate supplier performance, implementing corrective actions as necessary.
- Act as a point of contact between the company and vendors for procurement-related matters.
Inventory and Stock Control
- Continuously monitor usage of materials and adjust orders to ensure adequate materials/supplies are available for effective company operation.
- Develop an active process for measuring supply inventory and determining purchasing needs based on demand.
- Oversee and keep track of raw and finished goods quality, quantity, stock levels, delivery times, transport costs and efficiency.
- Regularly evaluate performance across each of the functions within the job role and make recommendations for improvement to meet organisational objectives.
- Track and resolve any shortages, delays, or discrepancies with inventory.
Cost Control and Budgeting
- Help identify opportunities for cost savings within the operational structure.
- Monitor costs and margins on product orders sold to direct customers.
- Implement cost-saving measures and strategies to reduce procurement costs.
- Conduct regular reviews of purchasing data to identify trends and opportunities for improvement.
Compliance and Risk Management
- Ensure that all purchasing activities comply with relevant legal, ethical and company standards.
Reporting and Documentation
- Compile designated reports as required.
- Ensure accurate recording of data through the Sage system.
- Gather, analyse and interpret customer feedback data to ensure high levels of customer satisfaction are achieved.
Collaboration
- Provide operational support to the Group Operation management team.
- Actively participate in daily meetings as required to ensure that all elements of the supply chain and purchasing processes and requirements are communicated to all involved.
- Ensure high quality and swift / prompt communication to customers and suppliers.
- Work to resolve customer queries in a timely manner.
- Ensure a ‘continuous improvement’ focus is maintained throughout all of the functions within the job role with regard to relevant processes and delivery requirements.
- Support initiatives across the organisation that contribute to long-term operational excellence.
Requirements
- Proven experience in a purchasing role, with strong organisational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM software such as Sage or similar platforms.
- Excellent communication skills in English, both written and verbal.
- Strong computer literacy with the ability to adapt quickly to new IT systems and software tools.
- Demonstrated ability to manage time effectively and prioritise tasks efficiently in a fast-paced environment.
- Customer service orientation with a professional attitude towards clients and colleagues.
- Organisational skills with attention to detail for maintaining accurate records and documentation.
- Previous experience in leading or managing small teams is desirable but not essential.
