We are seeking a highly organised and proactive Personal Assistant to support our Director in daily operations. The ideal candidate will possess strong administrative skills and demonstrate exceptional attention to detail. This role is crucial in ensuring the smooth running of the office and facilitating effective communication within the team.

We are a dynamic and fast-growing transport company with a fleet of 55 vehicles and around 70 dedicated staff. Our focus is on delivering exceptional service to our clients, which include local authorities and private organizations
Duties
- Provide comprehensive administrative support to the Director, including managing schedules, appointments, and travel arrangements.
- Maintain an organised filing system for both physical and digital documents.
- Handle incoming communications with professionalism, demonstrating excellent phone etiquette..
- Coordinate meetings, including preparing agendas and taking minutes.
- Support office management tasks, ensuring a tidy and efficient workspace.
- Liaise with clients and stakeholders on behalf of the Director when necessary.
- Support HR tasks, including onboarding new staff and maintaining employee records.
Personal Assistant Duties:
- Manage the Director’s calendar, scheduling meetings, appointments, and travel arrangements.
- Act as a first point of contact for the Director, dealing with queries efficiently and professionally.
- Take meeting minutes and follow up on actions to ensure deadlines are met.
- Handle confidential and sensitive information with discretion.
- Liaise with clients, partners, and key stakeholders on behalf of the Director.
- Assist with personal tasks and errands as required.
Experience/Requirements
- Proven experience in a similar administrative or clerical role is essential.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Proficiency in Microsoft applications (Docs, excel, Calendar) is required
- Excellent written and verbal communication skills are necessary for effective interaction with team members and external contacts.
- A keen eye for detail and accuracy in all tasks undertaken.
- Ability to work independently as well as collaboratively within a team environment.
- Must hold a full UK driving licence with no more than 3 penalty points and have access to their own vehicle for work-related travel.
