Role Overview
The Leads Sales Assistant is responsible for managing incoming enquiries, qualifying potential clients and supporting the firm's business development activities. This role is vital in ensuring prospective clients receive an excellent first impression of the firm while helping convert enquiries into instructed matters.
The successful candidate will possess excellent communication skills, strong organisational abilities and a client-focused approach. They will work closely with the legal and management teams to maximise client conversion and maintain an efficient lead management process.
Key Responsibilities
- Respond promptly to all telephone, email, website and referral enquiries.
- Qualify prospective clients by gathering relevant information regarding their legal matter.
- Assess enquiries against the firm's service offerings and direct them to the appropriate department.
- Maintain accurate and up-to-date records within the firm's case management or CRM system with experience in GoHighLevel.
- Follow up with prospective clients to maximise conversion opportunities.
- Monitor outstanding enquiries and ensure timely communication.
Sales & Client Conversion
- Build rapport with prospective clients and explain the firm's services professionally.
- Provide clear information regarding consultation procedures, legal processes and fee structures where appropriate.
- Support the achievement of monthly lead conversion and business development targets.
- Identify opportunities to cross-refer clients to other legal services offered by the firm.
- Schedule appointments for solicitors and legal advisors.
Administration
- Prepare reports on enquiry volumes, conversions and client trends.
- Ensure all documentation complies with firm policies and regulatory requirements.
- Maintain confidentiality and comply with data protection legislation.
- Assist with marketing campaigns and client engagement initiatives when required.
Client Service
- Deliver exceptional client service at every stage of the client journey.
- Handle sensitive conversations with empathy, professionalism, and discretion.
- Resolve client queries efficiently or escalate where necessary.
Skills & Experience Essential
- Previous experience in sales, client service, lead generation, or client intake.
- Excellent verbal and written communication skills.
- Strong telephone manner and interpersonal skills.
- Ability to build trust and confidence with prospective clients.
- Excellent organisational and time management skills.
- Proficient in Microsoft Office and CRM or case management systems - Clio and GoHighLevel.
- Ability to work in a fast-paced environment while maintaining attention to detail.

- Experience within a law firm or other professional services environment.
- Knowledge of legal services and client onboarding processes.
- Experience working with lead management software.
