We are a dynamic and rapidly growing e-commerce business seeking a results-driven and highly organized Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in our day-to-day operations, managing a variety of manual and administrative tasks. This role demands a high degree of organization, attention to detail, and the ability to work independently. We are looking for a proactive individual who takes responsibility for their actions and can manage tasks efficiently. Prior experience in managing operations for e-commerce platforms, especially Zalando and other online marketplaces, is essential.
Key Responsibilities:
Manage and respond to emails, including communication with stakeholders and manufacturers.
Manage, monitor, update and process orders across multiple platforms, including Zalando and other online marketplaces.
Create and send new sales orders using our fulfilment partner software.
Prepare and dispatch detailed Excel reports to our partners.
Maintain accurate and orderly files for commercial and packing list documents.
Monitor daily and resolve issues with suppliers and shipping agents to maintain smooth supply chain operations.
Create shipping labels, generate commercial invoices, and handle invoicing tasks upon delivery, especially for Zalando orders.
Solve problems and implement efficient processes with the support of the team.
Take initiative in identifying issues and finding solutions, ensuring tasks are completed to a high standard.
Requirements:
Proven experience as an Administrative Assistant with specific experience managing e-commerce operations on Zalando and other online marketplaces.
A proactive approach with the ability to take responsibility for actions and outcomes.
Experience with Xero, strong proficiency in Excel and e-commerce platforms are highly preferred.
Excellent organizational skills and attention to detail.
Independent problem-solving skills with a proactive approach.
Strong communication skills.
