We are seeking a dedicated and organised Office Administrator to join our team on a full-time basis. This role is ideal for candidates with strong administrative skills and experience in office environments. The successful applicant will play a vital part in ensuring the smooth operation of daily office functions, supporting staff, and maintaining efficient workflows. As our Administrator, you will be the heartbeat of our daily operations. This is a collaborative role where you will work closely with the Company Directors and team members to ensure the business runs like clockwork.
Duties
Departmental Support: Providing essential administrative assistance to our HR, Finance, and Technology teams.
Referral Coordination: Assisting with the coordination and administration of new referrals to ensure a smooth onboarding process.
Customer Support: Being the first point of contact—answering the phone with a professional and helpful manner.
Order Processing: Accurately taking orders via phone and email and ensuring they are logged correctly.
Finance Support: Working within Xero (preferable) to assist with basic invoicing and data entry.
Experience
- Proven office experience or administrative background is essential
- Must be able to use Xero accounting software
- Proficiency in computer skills including Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets, Calendar)
- Strong organisational skills with the ability to prioritise tasks effectively
- Excellent data entry accuracy
- Demonstrated experience in clerical duties such as record keeping, and document management
- Good communication skills with professional phone etiquette
- Familiarity with basic Xero accounting practices is advantageous but not mandatory
- Ability to work independently as well as part of a team in a fast-paced environment
