As our business continues to grow, we are looking for an organised and detail-oriented Procurement & Operations Administrator to support the day-to-day running of the company.
This is a fully remote role, working directly with the Managing Director, and would suit someone who enjoys administration, organisation and keeping things running smoothly behind the scenes.
About the Role
This is a varied and important position that sits at the heart of the business.
A significant part of the role involves processing and organising incoming emails, ensuring enquiries are handled efficiently, and maintaining accurate records within our CRM system.
You will support the procurement process by requesting supplier quotations, updating records, tracking order progress and ensuring information is recorded correctly. The role is primarily administrative and operational in nature, with responsibility for helping maintain the systems and processes that keep the business running efficiently.
The successful candidate will be highly organised, comfortable working independently and able to manage a varied workload with minimal supervision.
Key Responsibilities
- Managing and prioritising incoming emails.
- Processing customer enquiries and supplier communications.
- Creating and maintaining accurate CRM records.
- Logging enquiries, quotations, purchase orders and sales orders.
- Requesting quotations from suppliers.
- Chasing suppliers for pricing, lead times and documentation.
- Assisting with the preparation and issue of customer quotations.
- Monitoring order progress and updating internal records.
- Maintaining digital filing systems and documentation.
- Supporting logistics and shipment coordination activities where required.
- Ensuring information is recorded accurately and consistently across company systems.
- Providing general administrative support to the Managing Director.
- Identifying opportunities to improve internal processes and efficiency.
- Speaking on the phone with suppliers and customers.
Essential Skills & Experience
- Previous experience in an administrative, operations, customer service or procurement support role.
- Excellent written communication and email management skills.
- Strong attention to detail and accuracy.
- Ability to organise and prioritise multiple tasks.
- Confident using CRM systems and web-based business applications.
- Professional and courteous communication style.
- Self-motivated and capable of working independently from home.
- Strong problem-solving and organisational skills.
Desirable Experience
- Experience within procurement, supply chain, industrial or technical sectors.
- Experience working within a small business environment.
- Familiarity with quotation, order processing or supplier management activities.
- Experience supporting business operations remotely.
