The role
Global Exposure is a fast-growing digital marketing agency in Milton Keynes. The Managing Director currently handles
every email, meeting request, follow-up, and piece of admin in the business himself, and that stops now. You’ll
become the operational layer around him: running his inbox daily, controlling his diary, chasing what needs chasing,
and making sure nothing falls through the cracks, so his time goes on clients, sales, and growing the business.
This is a role for someone who takes ownership. The measure of success is simple: within three months, the MD opens
his inbox to a short “needs you” list instead of a wall of unread email, and nothing in the business is waiting on an
unanswered message.
What you’ll own
Inbox management (daily, non-negotiable) - Process the MD’s inbox every working morning: reply to routine
emails in his voice, forward and delegate to the right team member, file what needs no action - Maintain a daily
“needs Reece” shortlist of the genuinely important items, with your recommended action against each - Track threads
awaiting replies from clients, suppliers, and the team, and chase them without being asked
Diary and meetings - Own the calendar: schedule, reschedule, protect focus time, and resolve clashes - Prepare for
meetings: agendas, background, and the documents needed, sent ahead of time - Capture actions after key meetings
and chase them to completion
Follow-ups and chasing - Keep a running log of everything the MD is waiting on (proposals out, decisions pending,
promised call-backs) and chase each to a conclusion - Support credit control admin: sending statements and polite
payment chasers under direction from bookkeeping
Documents and admin - Prepare, format, and send proposals, agreements, and documents (we use PandaDoc and
Google Workspace) - Handle general business admin: bookings, orders, renewals, and supplier queries - Maintain a
subscriptions and outgoings list, flagging anything unused or duplicated
What we’re looking for
2+ years as an EA, PA, or virtual assistant supporting a business owner or senior manager
Excellent written English: you’ll be replying as the business daily, and tone matters
Ruthlessly organised, with a visible system for tracking open loops (tell us about yours)
Proactive and comfortable with autonomy: you act, then report, rather than waiting to be told
Discreet and trustworthy: you’ll see client, financial, and personnel information, and confidentiality is contractual
Confident with Google Workspace (Gmail, Calendar, Drive, Docs); familiarity with Xero, PandaDoc, or Slack-style
tools is a bonus
Available for a consistent daily slot each UK working morning (the inbox routine)
Logistics
15–20 hours per week, remote within the UK, with the option of occasional days at our Milton Keynes studio
£16–£22 per hour depending on experience, self-employed or employed part-time by arrangement
