Dispensary Manager – Online Pharmacy
Location: Glasgow
Hours: Monday–Friday, 9:00am–5:00pm (37.5 hours per week)
Job Type: Full-time, Permanent
Salary: £17–£19 per hour, depending on experience
Role Purpose
We are looking for an experienced and highly organised Dispensary Manager to take responsibility for the safe, efficient and compliant day-to-day operation of our busy online pharmacy dispensary.
You will oversee the end-to-end dispensing workflow, manage and support the pharmacy team, monitor stock and performance, and ensure prescriptions are processed accurately, efficiently and within required timescales.
This is a non-customer-facing role based within our Glasgow online pharmacy.
Applicants must have previous pharmacy experience and proven team management or supervisory experience to be eligible for this role.
You will work closely with pharmacists, prescribers, ACTs, dispensers, customer service and support teams to maintain high standards of patient safety, compliance and operational performance.
Key Responsibilities
Dispensary Operations
- Oversee the end-to-end dispensing process, from preparation, accuracy checking and dispatch.
- Manage daily workflow and prioritise orders to ensure prescriptions are processed accurately and on time.
- Allocate workloads and monitor team productivity throughout the day.
- Identify and resolve operational issues that may affect dispensing turnaround times.
- Ensure all processes are carried out in accordance with company SOPs and clinical governance requirements.
Team Management & Leadership
- Lead, manage and support the dispensary team.
- Assist with rota planning, workload allocation, training and staff development.
- Support recruitment and onboarding of new team members.
- Monitor individual and team performance and address issues proactively.
- Create a positive culture focused on accuracy, accountability, teamwork and continuous improvement.
- Lead by example and maintain high professional standards.
Compliance & Patient Safety
- Ensure the dispensary operates in accordance with relevant UK pharmacy legislation, GPhC standards, clinical governance requirements and company SOPs.
- Support the Responsible Pharmacist and Superintendent Pharmacist in maintaining appropriate standards of operation.
- Investigate dispensing errors, near misses and operational incidents, ensuring appropriate records are maintained.
- Support root-cause analysis and implement improvements to reduce the risk of future incidents.
- Support internal audits, regulatory inspections and other compliance reviews.
- Ensure documentation and records are maintained to an audit-ready standard.
Stock & Inventory Management
- Monitor stock levels and ensure medicines and other pharmacy products are available when required.
- Manage ordering and liaise with suppliers.
- Maintain accurate stock records and investigate discrepancies.
- Work with the wider team to improve stock control and inventory processes.
Online Pharmacy Operations
- Work closely with the technology and support teams to identify and resolve issues affecting prescription processing.
- Help improve online pharmacy processes as the business continues to grow.
- Use technology and data to monitor performance and identify opportunities to improve efficiency.
Customer Service & Escalations
- Support the customer service team with pharmacy-related escalations.
- Investigate issues relating to prescription delays, dispensing queries, order problems and delivery.
- Ensure issues are resolved efficiently while maintaining patient safety and confidentiality.
Essential Requirements
- Previous pharmacy/dispensary experience.
- Proven experience supervising, managing or leading a pharmacy team.
- NVQ Level 2 Pharmacy Services or equivalent pharmacy qualification.
- Strong knowledge of pharmacy processes, SOPs and regulatory requirements.
- Experience using pharmacy dispensing software and/or online order management systems.
- Excellent attention to detail and a strong commitment to accuracy.
- Excellent organisational and time-management skills.
- Strong communication and leadership skills.
- Ability to work under pressure and meet strict deadlines.
- Confident using technology, digital systems and data.
- A proactive, hands-on approach with the ability to use initiative.
- Ability to identify problems, investigate them and implement practical solutions.
