Remote Veterinary Practice Coordinator & Administrator (Full-Time or Part-Time)

Pay: £26,000 – £30,000 per annum FTE, DOE. Potential for pay progression based on performance.
About Us
We are an independent, friendly, expanding small animal mobile veterinary practice delivering compassionate, low-stress care directly to pets in their own homes across Leeds, Harrogate, and surrounds.
Because our clinical team spends their days out on the road with patients, we are looking for a super-organised, tech-savvy Remote Practice Coordinator to act as the operational backbone of our practice.
About the Role
This is a fully remote role where you will be the main voice of our practice and the central hub of our daily operations. Working comfortably from home, you will take full ownership of client communications, visit scheduling, staff rotas, stock management, and day-to-day admin to ensure our mobile vet team runs like clockwork.
Key Responsibilities:
· Rota Management & Scheduling: Planning and managing staff rotas, coordinating vet and support staff shift patterns, tracking holiday requests, and ensuring seamless daily cover.
· Client Liaison: Answering incoming phone calls, WhatsApp/messages, and emails with empathy, professionalism, and warm customer care.
· Visit Coordination, Route Planning & Logistics: Scheduling home visits and mapping out sensible, time-efficient driving routes across the region to minimise travel time between appointments. Re-scheduling appointments and diverting routes on the day if necessary, to accommodate urgent requests.
· Invoicing & Financial Admin: Generating client invoices, taking card payments over the phone or via online portals, and maintaining accurate financial records.
· Stock & Pharmacy Management: Tracking medication stock levels, liaising with veterinary wholesalers, and placing regular clinical and pharmacy orders.
· Practice Administration: Maintaining accurate patient records on our cloud-based Practice Management System (PMS) and keeping our client database up to date.
About You
· Experienced & Independent: Background in veterinary admin, medical coordination, or high-level administrative support, with the confidence to work autonomously without hand-holding.
· Tech-Savvy: Comfortable with cloud-based software, digital phone systems, and practice management tools, with an ability to pick up new digital systems quickly.
· Local Geographical Knowledge: Familiarity with Leeds, Harrogate, and the surrounding road networks is a major advantage for planning sensible routes.
· Proactive Organiser: Excellent time-management and logistical skills, strong attention to detail, and a calm, methodical approach to managing rotas and daily priorities.
