About the Role
We are looking for a highly organised and proactive professional to join our team as a Survey Sales Co-Ordinator & Administration Lead. This is a varied and dynamic role, sitting at the heart of our operations. You will be responsible for converting survey leads into instructions, managing surveyor diaries, and leading the day-to-day administration team.

Key Responsibilities
Sales & Lead Management
- Convert survey leads into instructions via telephone, email, and platforms including Survey Booker, RICS Find a Surveyor, and Quest database.
- Manage and nurture leads through the full sales cycle using the Survey Booker system.
- Maintain accurate records of third-party referral leads and report converted instructions weekly to support client reconciliation and management.
Operations & Diary Management
- Work closely with the back-end survey administration team to organise and optimise surveyor diaries.
- Manage cancellations, holds, and capacity planning to ensure maximum efficiency for the residential survey team.
File & Compliance Management
- Prepare and quality-check digital survey files (Dropbox) prior to appointments, ensuring all relevant documentation is accurate and accessible (site notes, flood risk, EPCs, listed building info, access arrangements, etc.).
- Ensure compliance with company procedures and maintain high standards of file integrity.
Team Coordination & Leadership
- Oversee the front-end and back-end survey administration processes.
- Conduct daily team meetings to plan key activities and adapt to fluctuations in demand and workload.
- Act as the central point of coordination for the administration team.
Office & Supplier Management
- Manage third-party suppliers and contractors (stationery, office servicing, waste management, utilities, IT, and telecoms).
- Handle general office duties, post, and ad-hoc typing (reports, letters, memos).
Customer Service
- Deliver the highest standard of client care via telephone, email, and in person.
- Ensure prompt responses and a professional, client-focused approach at all times.
What We’re Looking For
- Experience in sales coordination, administration, or a similar client-facing role (property/surveying background is a plus but not essential).
- Strong organisational skills and the ability to manage multiple priorities.
- Proficiency with diary management, CRM, and file management systems.
- A proactive problem solver who can lead a team and improve processes.
- Excellent written and verbal communication skills.

Pay: £28,000.00-£35,000.00 per year
