Production Administrator
About the Role
We are seeking an organised and proactive Production Administrator to join our busy operations team. This is a varied role that combines production planning support, dispatch administration, customer service, and accounts administration.
Working closely with the Production & Despatch Manager and Finance Manager, you will play a key role in ensuring customer orders are processed accurately, production schedules are maintained, deliveries are coordinated, and financial records are kept up to date.
This is an excellent opportunity for someone who enjoys working in a fast-paced manufacturing environment and has strong administrative, communication, and organisational skills.
Key Responsibilities
Production & Dispatch Administration
- Process customer orders received by telephone and email.
- Enter orders accurately onto the Sage accounting system.
- Produce production notes, delivery notes, labels, and other dispatch documentation.
- Support the coordination of production schedules and delivery programmes.
- Liaise with customers regarding delivery dates, collections, and order updates.
- Ensure customer orders are correctly documented and scheduled for production.
- Convert completed orders into customer invoices, checking all details for accuracy.
- Produce weekly dispatch and production reports.
- Assist with maintaining production planners and delivery schedules.
Customer Service
- Act as a first point of contact for customers.
- Provide professional and efficient support via telephone and email.
- Build positive relationships with customers and respond to enquiries.
- Help manage customer expectations regarding deliveries and order status.
- Record and escalate customer complaints and queries where required.
Quality & Compliance
- Support ISO 9001 Quality Management System requirements.
- Assist with internal audits and quality reporting.
- Maintain accurate records and documentation.
- Follow company policies, procedures, and health and safety requirements at all times.
About You
The ideal candidate will have:
Essential
- Previous administration experience.
- Excellent attention to detail and accuracy.
- Strong organisational and time management skills.
- Good IT skills and experience using Microsoft Office.
- Excellent communication and customer service skills.
- Ability to prioritise workload and work to deadlines.
- Professional telephone manner.
- Ability to work independently and as part of a team.
Desirable
- Experience using Sage accounts software.
- Experience within a manufacturing, production, logistics, or dispatch environment.
- Knowledge sales invoicing processes.
- Experience working within ISO 9001 quality systems.
