This role supports the VP, Construction & Delivery, Development Delivery Director, Project Directors, Project Managers and other project leadership as a central coordination and controls point across Nscale's UK and Portugal projects. It is a hands-on, detail-focused position responsible for keeping governance cadence running, information flowing, and the project leadership teams prepared and always informed.
The role ensures the Nscale team has a clear, current and accurate picture of programme status across multiple projects and workstreams, that actions are tracked and followed up, and that nothing falls through the gaps between the owner team and delivery structures. The position ensures that governance reporting frameworks are maintained and Nscale's internal project reporting is controlled and produced with input as required.
Working across multiple disciplines, the role will coordinate information and activities across development, design, infrastructure, utilities, procurement, construction, OFCI, commissioning and other project workstreams, helping maintain alignment between Nscale teams and external delivery partners.
The right candidate will be highly organised, proactive and comfortable working at pace across multiple concurrent projects and workstreams. They will be as comfortable preparing senior-level reporting packs as they are chasing an overdue action from a consultant, contractor or workstream lead.
Coordinate the project teams' governance rhythm — prepare agendas, circulate pre-reads, attend key meetings and produce concise minutes and action logs on behalf of the Nscale team.
Track all actions arising from governance and project meetings: ensure owners are clearly assigned, due dates are set, and outstanding items are actively followed up without waiting to be asked.
Maintain project decision registers — logging decisions made, by whom, and on what basis; flagging decisions that are overdue or blocked to the relevant project leadership.
Coordinate reporting pack preparation — consolidating inputs from across the Nscale project teams into clean, consistent weekly and monthly outputs.
Coordinate meetings, workshops, site visits and other project activities across internal teams, consultants, contractors and delivery partners as required.
Coordinate programme and schedule information received from the delivery teams — sense-checking inputs for consistency, flagging gaps or discrepancies, and presenting a consolidated picture to project leadership.
Maintain project programme trackers — mapping key milestones, critical dates and owner interface obligations across design, procurement, planning and licensing, construction, infrastructure, utilities, OFCI, commissioning and handover workstreams.
Monitor key milestone progress and flag deviations, slippage or emerging dependencies to the relevant Nscale lead — ensuring nothing drifts without the leadership team being aware.
Track owner-side obligations and inputs — approvals, decisions, information releases, OFCI milestones and other project requirements — ensuring the Nscale team is not the cause of programme constraint.
Support visibility of key milestones, priorities and dependencies across the wider UK and Portugal project portfolio.
Maintain project risk and issue logs — consolidating inputs from across the Nscale project teams, ensuring risks have owners and mitigations, and producing clear summaries for project leadership.
Maintain programme dependency trackers — mapping cross-workstream and, where relevant, cross-project dependencies and flagging where delays in one area are creating risk in another.
Follow up on risk mitigation actions and issue resolution — keeping logs current and escalating stale items to the appropriate Nscale lead.
Help identify practical blockers early and ensure these are escalated to the appropriate Project Manager, Project Director or workstream lead.
Coordinate the flow of information between Nscale project teams and the delivery management structures — tracking submittals, RFIs, technical queries and approvals that require owner input or response.
Ensure Nscale teams have visibility of key documents, reports and submissions from the delivery structures — distributing, filing and flagging items that require action or review.
Assist with document control and information flow where required, ensuring key documents, drawings, actions and correspondence are stored and shared correctly.
Support coordination between Nscale teams, external consultants, contractors, vendors and other project stakeholders.
Support onboarding of new Nscale team members by maintaining clear project information, governance routines, contact information and document filing structures.
Produce concise, well-structured reporting outputs for project leadership — translating raw programme data, risk logs and workstream updates into clear dashboards and summary notes that enable informed decision-making.
Support the preparation of executive, board-level and stakeholder reporting packs, drawing on inputs from across Nscale teams and the delivery structures.
Maintain a consistent reporting format and cadence — ensuring project leadership always has a current, reliable view of programme status without having to chase for it.
Support consolidated reporting across UK and Portugal projects, highlighting key milestones, risks, issues, dependencies and decisions requiring leadership attention.
Support Project Directors, Project Managers and workstream leads with day-to-day coordination across multiple disciplines and project activities.
Coordinate project meetings, workshops, site visits and stakeholder interfaces, ensuring actions and follow-up requirements are clearly captured.
Support coordination across development, design, infrastructure, utilities, procurement, construction, OFCI, commissioning and other project disciplines.
Assist in resolving day-to-day coordination issues by identifying the appropriate owners, facilitating communication and following actions through to closure.
Support project teams during periods of increased activity, ensuring information, meetings, actions and interfaces remain well coordinated.
Strong organisational and coordination skills — able to manage multiple concurrent projects and workstreams, track actions across busy project teams, and keep governance processes running without being directed to.
Clear written communication: able to produce concise meeting minutes, action logs, risk summaries and reporting packs that are accurate, readable and useful to senior leadership.
Programme literacy: able to read and understand construction and infrastructure programmes, identify milestone dependencies and sense-check schedule information received from project functions — without needing to build or maintain schedules directly.
Proactive follow-through: not a passive coordinator — comfortable chasing overdue actions, flagging slippage and keeping workstream leads accountable for their inputs.
Strong communication and stakeholder coordination skills, with confidence following up with internal teams, consultants, contractors, suppliers and other project stakeholders.
High attention to detail and willingness to take ownership of follow-up activities until they are closed.
Proficient in project management and reporting tools: MS Project, Excel, Teams, SharePoint, Aconex, Procore or similar document control and reporting platforms.
Comfortable working in a fast-moving, multi-project and multi-party environment where priorities shift and the ability to adapt quickly is essential.
Able to work effectively across geographically distributed teams and projects.
4–7 years' experience in a project coordination, project controls, PMO support or assistant project management role on major construction, infrastructure or data centre programmes.
Experience supporting a client-side or owner-side project team — ideally within a multi-party structure involving owner, project management, PMO, contractor and vendor organisations.
Proven experience supporting governance routines: action trackers, meeting coordination, reporting packs, risk and issue logs and decision registers across multiple workstreams.
Exposure to complex construction or infrastructure programmes with multiple concurrent workstreams — data centre, energy, utilities or large infrastructure experience beneficial.
Experience coordinating across multiple project disciplines, consultants, contractors and internal stakeholders.
Experience working across multiple projects or geographically distributed teams is beneficial.
Ability to travel between UK and Portugal project locations as required.
