Job Overview
The Cart Shed Catering is looking for an organised, friendly and proactive Operations Coordinator to support the day-to-day administration and organisation of The Cart Shed Catering.
This is a varied role supporting the client journey and general administration of the business.
Working Monday to Thursday, the Operations Coordinator will help ensure enquiries are responded to, client information is kept up to date, contracts and invoices are issued, event documentation is prepared and the wider catering team has the information required to successfully deliver upcoming weddings and events.
This role is ideal for someone who enjoys being organised, communicating with people and keeping to deadlines.
Key Responsibilities
Client Administration & Communication
- Monitoring the company inbox and responding to client enquiries.
- Acting as a friendly and professional point of contact for couples and clients.
- Responding to new enquiries and sending relevant brochures, menus and information.
- Following up enquiries and existing bookings where required.
- Keeping client records and booking information accurate and up to date.
- Updating booking systems, CRM systems and company calendars.
- Liaising with clients regarding menus, timings, guest numbers and catering requirements.
- Collecting final event information from clients ahead of agreed deadlines.
- Recording dietary requirements and allergen information accurately and passing this information to the relevant team.
- Liaising with venues and suppliers when required.
Contracts, Invoicing & Payments
- Preparing and issuing client contracts.
- Ensuring signed contracts and relevant booking documentation are received and correctly filed.
- Raising and issuing client invoices.
- Recording payments against bookings.
- Monitoring outstanding balances and following up payments when required.
- Highlighting overdue accounts or payment discrepancies to management.
- Maintaining organised records of invoices, payments and booking documentation.
- Assisting with organising receipts, invoices and financial documentation for bookkeeping and the accountant.
Event Administration & Preparation
- Reviewing upcoming weddings and events to ensure required information has been received.
- Preparing and updating event documentation.
- Creating event timelines and catering information sheets where required.
- Confirming final guest numbers and menu selections.
- Recording dietary and allergen information accurately.
- Preparing kitchen and event order sheets.
- Ensuring relevant event information is clearly communicated to the catering team.
- Identifying missing information and following up with clients where necessary.
- Maintaining a rolling overview of upcoming events and outstanding administrative actions.
General Business Administration
- Keeping digital files, client folders and business records organised.
- Assisting with staff administration and maintaining relevant documentation.
- Checking and recording staff hours where required.
- Supporting the preparation of information for payroll.
- Updating internal spreadsheets and systems.

Previous experience in administrative work would be advantageous but not essential.
Working Hours
The normal working hours for this position are:
Monday–Thursday, 10:00am–1:00pm
A total of 12 contracted hours per week.
The role is primarily administrative and there is no routine requirement to work weddings or events during evenings or weekends unless separately agreed in advance.
Pay: £14.00 per hour
