The Role
The Health, Safety and Facilities Coordinator is responsible for promoting a safe, compliant, and well-maintained working environment across the organisation. The role oversees health and safety compliance, coordinates facility operations and maintenance, and provides transportation support as required to ensure the efficient delivery of organisational activities.
Key Responsibilities
Health and Safety
- Ensure compliance with all applicable health and safety legislation, policies, and procedures.
- Conduct workplace inspections and risk assessments, recommending corrective actions where necessary.
- Investigate incidents, accidents, and near misses, preparing reports and implementing preventive measures.
- Maintain health and safety records, registers, and documentation.
- Coordinate emergency preparedness activities, including fire drills, first aid arrangements, and evacuation procedures.
- Deliver or coordinate health and safety inductions and awareness training for employees.
- Monitor contractor compliance with site safety requirements.
Facilities Management
- Oversee the day-to-day operation and maintenance of company facilities.
- Coordinate preventative and reactive maintenance with contractors and service providers.
- Monitor building systems, equipment, and workplace amenities to ensure they are safe and operational.
- Manage facility-related service contracts and maintain maintenance schedules.
- Coordinate office moves, workspace setup, and asset management.
- Monitor facility budgets and recommend cost-effective improvements.
- Ensure compliance with environmental, security, and building management requirements.
Transportation Support
- Operate company vehicles safely and in accordance with all traffic laws and company policies when required.
- Transport staff, visitors, equipment, documents, and materials between company sites and external locations.
- Conduct routine vehicle inspections and report maintenance requirements promptly.
- Maintain vehicle cleanliness and ensure servicing schedules are followed.
- Assist with loading, unloading, and securing equipment or materials during transportation.
- Plan efficient travel routes to ensure timely delivery of services.
Administration
- Prepare reports on health and safety performance and facility maintenance activities.
- Maintain accurate records of inspections, maintenance, vehicle usage, and compliance documentation.
- Assist in developing and reviewing workplace policies and procedures.
- Support business continuity and emergency response planning.
- Perform other duties as reasonably assigned.
Requirements
- Diploma or certificate in Occupational Health and Safety, Facilities Management, or a related field (preferred).
- Valid driver's licence with a clean driving record.
- First Aid and CPR certification (preferred).
- Knowledge of workplace health and safety legislation and best practices.
- Experience coordinating facilities or building maintenance activities.
- Strong knowledge of health and safety principles and risk management.
- Excellent organisational and time management skills.
- Ability to manage multiple priorities simultaneously.
- Strong communication and interpersonal skills, including the ability to communicate effectively in Mandarin with management and stakeholders, where required for business operations.
- Proficiency in Microsoft Office and record management systems.
- Ability to work independently and collaboratively.
- Sound problem-solving and decision-making abilities.
- High level of integrity, professionalism, and attention to detail.
