Sales Coordinator – Customer & Administrative Support
Chrono Hunter | Luxury Watches
About Chrono Hunter
Chrono Hunter is a fast-growing business in the luxury watch space, connecting customers with a trusted network of watch businesses and helping make the process of buying and selling luxury watches simpler, safer and more efficient.
As we continue to grow, we are looking for a highly organised, proactive and customer-focused Sales Coordinator to join our team and play an important role in the day-to-day running of our sales operation.
This is an opportunity to join Chrono Hunter at an exciting stage of our growth and develop a broad understanding of the luxury watch industry, while becoming a key part of the team responsible for delivering an excellent experience to both our customers and business partners.
The Role
The Sales Coordinator will be responsible for coordinating transactions from the point a sale has been agreed through to successful completion.
Once a deal has been agreed by the sales team, you will help take ownership of what happens next. You will communicate directly with customers, businesses and members of the Chrono Hunter team to organise logistics, arrange dates and times, confirm important details and ensure everyone involved knows exactly what is happening and when.
Luxury watch transactions can involve significant values, so accuracy, communication and attention to detail are extremely important. You will need to be comfortable managing multiple transactions at different stages while maintaining a professional and responsive level of service.
Sales coordination will be the main focus of the position, but as part of a fast-growing business, this will be a varied role. You will gradually develop knowledge across other areas including watch pricing, accounts and the wider commercial operation, allowing you to support other members of the team when required.
We are also looking for someone who will take ownership of their area of the business. We want you to notice when something isn't working as well as it could, raise issues, suggest improvements and help us build more efficient and scalable processes as Chrono Hunter continues to grow.
Key ResponsibilitiesSales & Transaction Coordination
Your primary responsibility will be making sure agreed sales progress smoothly and efficiently through to completion.
You will:
- Coordinate transactions from the point a sale has been agreed through to successful completion.
- Act as a key point of contact between customers, businesses and the Chrono Hunter team.
- Organise the logistics required to complete each transaction.
- Coordinate and confirm suitable dates and times with all relevant parties.
- Ensure customers and businesses receive clear instructions and understand what is required at each stage.
- Proactively follow up on outstanding information, confirmations and actions to keep transactions moving.
- Monitor ongoing transactions and identify anything that could cause a delay or problem.
- Keep the sales team informed of the progress of transactions.
- Maintain accurate records and ensure transaction information is kept up to date.
- Make sure important details are checked and confirmed rather than assumed.
- Take ownership of transactions and help ensure nothing is overlooked between an agreed sale and completion.
Customer & Business Communication
You will communicate directly with both customers and businesses, so being confident, professional and personable is an important part of the role.
Responsibilities will include:
- Communicating with customers and businesses by telephone, email and other communication channels.
- Providing a professional, friendly and responsive experience.
- Keeping customers informed throughout the transaction and providing updates at appropriate stages.
- Answering administrative and transaction-related questions.
- Building positive working relationships with the businesses within the Chrono Hunter network.
- Following up with customers and businesses when information or action is required.
- Handling queries and issues professionally and escalating matters when appropriate.
- Representing Chrono Hunter to the high standard expected within the luxury watch market.
Administration
Strong administration and attention to detail will be essential to the role.
You will:
- Maintain accurate customer, sales and transaction records.
- Prepare, organise and process documentation relating to transactions.
- Ensure important information is recorded correctly and communicated to the relevant people.
- Support the sales team with general administration.
- Keep systems and records organised and up to date.
- Assist with other administrative requirements across the business when needed.
Process Improvement & Operational Efficiency
Chrono Hunter is a growing business, which means the way we operate will continue to develop.
We don't want someone who simply follows a process because "that's how it's always been done". We want someone who takes an interest in how the operation works and how it could work better.
As you become familiar with our sales coordination and transaction processes, you will be encouraged to:
- Regularly review the processes you work with and identify opportunities for improvement.
- Notice recurring issues, bottlenecks, unnecessary administration or inefficiencies.
- Identify potential problems early and report them to the relevant members of the team.
- Think beyond solving an immediate problem and consider how we could prevent it from happening again.
- Suggest practical improvements that could make transactions quicker, clearer or more reliable.
- Bring observations, issues and improvement ideas to our regular team meetings.
- Work with other members of the team to implement agreed changes.
- Look for ways to improve communication between customers, businesses and the internal team.
- Help develop clearer and more consistent processes as the number of transactions we handle increases.
- Consider how systems, automation and better ways of working could reduce repetitive administration.
- Take ownership of your area and continually look for ways to make it more efficient.
You won't be expected to have all the answers. What is important is that you are someone who notices things, asks questions and is comfortable suggesting a better way of doing something.
Because this role has first-hand visibility of transactions from agreed sale through to completion, your feedback will be valuable in helping us improve both the customer experience and the way Chrono Hunter operates.
Accounts & Transaction Support
As you develop within the role, you will also gain exposure to the financial side of our transactions and learn relevant areas of the company's accounts processes.
This may include:
- Assisting with basic transaction and payment administration.
- Checking and recording payment-related information.
- Liaising with colleagues regarding payments and transaction status.
- Supporting basic accounts administration when required.
- Ensuring financial and transaction information is handled accurately and responsibly.
The intention is not for this to become an accounts position, but for you to develop enough understanding to provide useful support to other members of the team when required.
Watch Pricing & Commercial Knowledge
You will also have the opportunity to develop your knowledge of the luxury watch market and how watches are valued.
Over time, you will learn about:
- How luxury watches are valued and priced.
- The factors that influence the market value of different watches.
- How brand, model, condition, age, specification and market demand can influence pricing.
- How Chrono Hunter approaches pricing and transactions.
- The commercial considerations involved in buying and selling luxury watches.
As your knowledge develops, you will be able to assist other members of the team with pricing information and provide wider support when required.
You do not need to be a watch expert when you join us. We are looking for someone who is interested and willing to learn.
What We're Looking For
The right person for this position will be highly organised, an excellent communicator and naturally attentive to detail.
You should be comfortable taking responsibility for tasks and making sure they are completed properly rather than waiting to be chased.
We are looking for someone who is:
- Highly organised and able to manage multiple transactions and priorities at the same time.
- Extremely attentive to detail.
- Confident communicating directly with customers and businesses.
- Professional and articulate both on the telephone and in writing.
- Friendly, approachable and customer-focused.
- Proactive and comfortable following up with people when action is required.
- Reliable and able to take ownership of tasks through to completion.
- Comfortable working with dates, times, figures and transaction information.
- Able to remain calm and organised when priorities change.
- Naturally interested in finding solutions when problems arise.
- Comfortable raising an issue when something doesn't look right.
- Willing to suggest ideas and challenge existing ways of working constructively.
- Comfortable working in a fast-moving and growing business where processes will continue to evolve.
- A team player who is willing to help colleagues when required.
- Interested in developing commercial knowledge and learning about the luxury watch market.
Experience
Previous experience in sales coordination, sales administration, customer service, logistics, office administration or another customer-facing administrative role would be beneficial.
Experience within the luxury watch industry is not essential.
For us, the person's attitude and approach are particularly important. We are looking for someone with excellent communication and organisational skills who takes pride in getting the details right, takes ownership of their responsibilities and wants to develop as the business grows.
An existing interest in watches would be an advantage, but comprehensive watch knowledge is not required.
Why Join Chrono Hunter?
This is an opportunity to join Chrono Hunter at an exciting stage of its growth and become an important part of a developing business within the luxury watch industry.
This isn't intended to be a traditional administrative position where you are limited to a narrow set of tasks.
You will gain exposure to different parts of the business and develop knowledge across sales, customer service, luxury watches, pricing, transactions, logistics, processes and accounts.
You will also have the opportunity to influence how your area of the business develops. As we grow, we want the people closest to our customers and transactions to contribute ideas about how we can improve.
For someone who demonstrates the right attitude, ability and willingness to take responsibility, there will be opportunities to develop alongside the company and take on greater responsibility over time.
