Job Purpose
We are seeking an organised and proactive Office Assistant to support our daily operations. You will be the central link between our clients and engineering team, ensuring jobs are booked efficiently. You will also manage general office administration and help maintain a safe working environment by assisting with health and safety compliance.

Key Responsibilities
General Administration
- Prepare and issue client invoices and quotes
- Maintain accurate records on the company CRM systems, eg, Zoho and Sage
- Order office supplies and staff uniform / PPE
- Handle incoming and outgoing mail and general email/telephone enquiries.
- File job sheets, certificates, and compliance documents
- Assist with meetings and trade show administration
Engineer Coordination and Scheduling
- Log incoming client requests via phone and email
- Schedule and dispatch engineers to job sites
- Optimise engineer routes to maximise daily efficiency
- Track job progress and update clients on arrival times
- Manage emergency call-outs and reallocate resources quickly
- Assist with receipt and dispatch of orders and stock control
Health & Safety Assistance
- Help prepare risk assessments and method statements (RAMS).
- Ensure engineers have the correct PPE before site visits.
- Maintain the office accident book and report incidents.
- Coordinate annual services for office equipment and fire alarms.
- Keep safety training records and certifications up to date.

Requirements and Qualifications
- Experience: Minimum 1 - 2 years in an office administration or scheduling role
- Technical Skills: Proficient with MS Office (Word, Excel) and CRM / scheduling software
- Communication: Excellent verbal and written English skills
- Organisation: Ability to multitask and manage a fast-paced diary.
- H&S Knowledge: Basic understanding of workplace health and safety is a plus.

What We Offer
- Holiday: 25 days + public holidays, increasing by 1 extra day for each year of service (capped at a maximum of 30) after 2 years.
