The Opportunity
We are looking for a detail-oriented People Shared Services Administrator to join our People Services team. The role is focused on transactional HR administrative tasks and managing the employee lifecycle from onboarding to offboarding. The successful candidate will handle key activities such as employment contract creation, right-to-work checks, and maintaining accurate employee data. This role is integral to ensuring smooth HR operations for all Gist locations and compliance with employment regulations.

Hours: 37.5 per week

What you’ll bring:
Key responsibilities
- Provide administrative support throughout the employee lifecycle, including onboarding, changes during employment (such as promotions or role changes), and offboarding
- Conduct right-to-work checks, ensuring compliance with local employment laws and visa requirements. Maintain accurate records of right-to-work documentation for audit purposes
- Draft, prepare, and issue employment contracts and offer letters for new hires, promotions, and internal transfers. Ensure all contractual documents are accurate and in line with company policies and legal requirements. Coordinate with hiring managers and HR people manager and business partners to ensure the timely issuance of contracts
- Accurately input and update employee data in the HR system (HRIS), including new hires, terminations, and changes in employee status
- Ensure compliance with relevant employment legislation and company policies related to right to work, contracts, and employee documentation
- Stay up-to-date with changes in employment law and HR best practices
- Assist with audits and reporting to ensure ongoing compliance with internal and external requirements
- Act as a point of contact for employee and site enquiries regarding contracts, right to work, and other HR documentation
- Manage and resolve queries through the HR shared services helpdesk or ticketing system in a timely and efficient manner
- Identify opportunities for process improvement within the HR shared services function
- Contribute to the development and refinement of standard operating procedures to increase efficiency and accuracy
Who you are:
- Previous experience in HR administration or a People/HR shared services environment.
- Strong understanding of HR processes, particularly related to contract administration and right-to-work checks
- Excellent attention to detail and accuracy in processing HR transactional activities
- Strong organizational skills, with the ability to manage multiple tasks and prioritize workload effectively
- Good communication skills, both written and verbal, with the ability to liaise confidently with internal stakeholders
- Ability to work collaboratively within a team as well as independently
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with HRIS systems (e.g., SAP, Workday, or similar platforms)
- Strong understanding of data protection and confidentiality when handling sensitive employee information
- Knowledge of employment legislation, particularly around right-to-work compliance
- Flexibility to travel role dependent
