Head of Systems & Automation — AiBNB
Remote | Full-time or 3 days/week
Compensation: £2,200 – £3,500/month DOE, or day rate DOE
Reports to: Daniel Budden, Founder
Location: Remote — you must be available to overlap UK business hours by at least 5 hours per day.
About AiBNB
AiBNB teaches people how to build and scale profitable short-term rental businesses.
We run two six-month programmes:
- AiBNB Host — £3,500
- AiBNB Scale — £8,000
Both are sold through a monthly webinar that currently puts around 750 people in the room.
Alongside the education business, we have a software line, Daniel AI, providing AI tools for short-term rental operators.
The founder also runs a UK property management company with 125+ units across 17+ cities. That portfolio is our test bed.
Everything we teach needs to work in our own businesses first.
The role
We are looking for a Head of Systems & Automation to own the systems and automation across our businesses.
The job, in one sentence:
Build the systems inside our own businesses first, prove they work, then turn them into something we can roll out to clients and teach in our programmes.
This isn't a role where you'll receive a list of automation tickets and work through them.
We want someone who can look at a business, identify where time, money and information are leaking, design a better system, build it, document it, maintain it and eventually make it repeatable.
You'll have significant autonomy over what gets built and how.
What you'll actually be doing
1. Fix our own house first
You'll get access to our systems and a mandate to improve them.
Sales operations
- Webinar → application → booked call → close workflows
- Application scoring and routing
- Slack notifications and reporting
- Call recording summaries and filing
- CRM hygiene
- KPI dashboards for setter and closer teams
Programme delivery
- End-to-end client onboarding
- Milestone and task tracking
- Early-warning systems for Client Success
- Community and content operations
Portfolio operations
- Guest messaging
- Pricing workflows
- Owner reporting
- Field operations across a live short-term rental portfolio
Finance and administration
- Invoicing
- Commission calculations
- Reporting
- Monthly close processes
2. Turn what works into something we can sell and teach
Once a system works internally, you'll help us turn it into a repeatable product:
- Templates
- SOPs
- Build playbooks
- Handover documentation
- Client-ready systems
- Implementation processes that can be delivered in days rather than rebuilt from scratch
3. Teach what you build
Our systems increasingly become part of what we teach our clients.
You'll help turn your builds into:
- Written walkthroughs
- Live training sessions
- Templates
- Technical lessons
- Practical examples
You don't need to be a professional copywriter.
You do need to be able to explain a technical system clearly to somebody who isn't technical.
4. Own the stack
You'll have responsibility for:
- Tool selection
- Automation architecture
- Subscriptions and software spend
- Access and credentials
- Documentation
- Consolidating unnecessary tools
- Deciding what we should stop using
What this role is not
It is not product engineering.
We have a separate software product with its own roadmap. You will not be responsible for building that product.
It is not a pair-of-hands automation role.
You won't be handed fully specified tickets all day. We expect you to identify problems and propose solutions.
It is not agency work.
You won't be billing hours across 20 different client accounts. Most of your work will be inside our own businesses, with proven systems subsequently being rolled out to clients.
What we're looking for
Essential
- Demonstrable experience building and maintaining systems in Make.com and/or Zapier
- Strong understanding of APIs, webhooks, JSON and authentication
- Able to read API documentation and work out integrations without relying on step-by-step tutorials
- Hands-on experience with LLM APIs, including structured outputs, prompt chains, retrieval and/or useful AI agents
- Strong Notion skills: databases, relations, rollups and formulas
- Excellent documentation habits
- Able to explain technical systems to non-technical people
- Self-managing and comfortable working from outcomes rather than detailed instructions
- Willing to challenge ideas and explain when a different approach would be better

Our current stack
Slack, Notion, Zapier, Make.com, Circle, Typeform, Fathom, Google Workspace, Xero, GoHighLevel, Guesty, SuiteOp, PriceLabs, Lovable, Supabase, Meta Ads, Google Ads, Claude and OpenAI APIs.
You don't need to know every tool.
We're much more interested in whether you can understand a system, learn a new tool quickly and make good technical decisions.

Confidentiality and ownership
You'll have access to payment, accounting, property management and client systems.
An NDA is therefore part of the offer. Credentials must be stored in our password manager, and systems and credentials must be handled according to our security processes.
Everything you build for AiBNB or our clients will belong to AiBNB or the relevant client, as applicable.
How we hire
Our process has five stages:
1. Application
Complete the short application form and show us two things you've actually built.
2. Team interview
A conversation about your experience, how you work and how you approach problems.
3. Founder interview
A 45-minute call with Daniel.
Around half the call will involve screen-sharing one system you've built and walking through the decisions you made. We'll then discuss what you'd look at first if you joined AiBNB.
4. Paid build
You'll complete a three-hour build based on a real scenario from our stack.
The build is paid at your stated rate regardless of the outcome.
We use this stage because portfolios and Loom videos show us what you built once. A live build gives both sides a much better idea of how we actually work together.
5. Offer
If there's a fit, we'll make an offer.
