Position: Business Support Officer (Grade 4)

Working Hours: 35 hours per week
Pay Rate: PAYE: £104.51 per day
Job Responsibilities
The Business Support Officer will provide an efficient and flexible business support service across Community Services, supporting the effective operation of the service through accurate administration, information management, and coordination activities.
Key responsibilities include:
- Maintain accurate, up-to-date records across relevant systems and databases
- Process information, monitor progress, follow up outstanding documentation, and ensure records are updated within agreed timescales
- Provide general administrative support including handling visitors, scanning, photocopying, filing, post management, and other office resource tasks
- Maintain office supplies, stock levels, and organised filing/storage areas
- Coordinate committee reports and provide administrative guidance to senior managers
- Collate, quality-check, and distribute reports and documentation within agreed deadlines
- Arrange, attend, and record meetings, forums, and panels, including producing accurate minutes and action notes
- Ensure meeting minutes, decisions, and recommendations are shared securely with authorised recipients in line with data protection requirements
- Provide guidance on procedures, deadlines, and processes while monitoring progress against agreed actions
- Maintain and update information on relevant ICT systems
- Provide day-to-day administrative support for service-critical systems, including user requests, system updates, user support, training assistance, and maintaining data integrity
- Generate reports and statutory returns as required
- Maintain confidentiality and comply with information governance, data protection, and council policies
- Support the implementation of new systems, technologies, procedures, and improved working practices
- Provide administrative support to service managers and act as Assistant Director's PA when required
- Provide cover for senior administrative support roles during periods of absence
- Manage own workload effectively, prioritise tasks, and use initiative to resolve issues
- Support performance monitoring and contribute towards service objectives and targets
- Participate in training, development activities, and continuous improvement initiatives

Essential Criteria
Qualifications and Training
- Demonstrates strong literacy and numeracy skills required for the role
- Relevant training or experience in administration practices
- Relevant customer care or front-line service experience
- Relevant IT skills and experience using software packages
- Relevant Level 3 qualification or equivalent relevant experience
Knowledge and Skills
- Excellent written and verbal communication skills
- Ability to use Microsoft Office applications, including Word, spreadsheets, and databases
- Ability to learn and use administrative and service-specific ICT systems
- Strong organisational skills with the ability to manage competing priorities
- Ability to maintain accurate records and process information effectively
- Ability to work independently and use initiative
- Ability to work effectively as part of a team
- Ability to handle confidential information appropriately and follow information governance requirements
Experience
- Experience providing administrative/business support services
- Experience maintaining records, databases, and information systems
- Experience preparing documents, reports, correspondence, and administrative materials
- Experience supporting meetings, including preparing paperwork and recording minutes/actions
- Experience providing customer-focused administrative support

Desirable Criteria
- Experience working within a Local Authority or public sector environment
- Knowledge of council procedures, policies, and governance requirements

- Experience using local government systems such as Civica, Liquid Logic, ChildView, M3, Flare, LALPAC, or similar platforms

- Experience supporting service improvement, system implementation, or process changes
