Mittens Plumbing, Heating & Renewables is an established and growing plumbing, heating and renewable energy contractor operating throughout Sussex.
Due to the continued growth of the business, we are looking to recruit an experienced and highly organised Office Manager to take responsibility for the day-to-day running of our busy office and support the operational management of the company.
This is an important position within the business and would suit someone who enjoys taking ownership, improving systems and keeping a busy team organised. We are looking for someone who can see what needs to be done, deal with issues proactively and ensure that jobs, customers, engineers and office processes are properly managed.
The Role
Working closely with the company directors, project managers, operations team, accounts department and engineers, you will be responsible for ensuring the office runs efficiently and that information flows correctly between our customers, engineers, suppliers and management team.
Typical responsibilities will include:
- Managing the day-to-day running of the office.
- Coordinating and supporting the office and administration team.
- Managing engineers' diaries, appointments and workloads alongside the operations team.
- Monitoring outstanding jobs and ensuring works are progressed through to completion.
- Handling incoming telephone calls and emails and ensuring enquiries are dealt with promptly.
- Dealing with customer queries and resolving issues before they require escalation to management.
- Ensuring job records, engineer reports, photographs and paperwork are completed correctly.
- Monitoring quotations, purchase orders, invoices and outstanding administrative actions.
- Coordinating planned servicing, maintenance and reactive call-outs.
- Ensuring certificates, warranties and compliance documentation are correctly recorded and issued.
- Supporting administration relating to Gas Safe, MCS and renewable installations.
- Liaising with suppliers and manufacturers regarding materials, deliveries, warranties and technical issues.
- Monitoring holidays, sickness and general staff administration.
- Supporting recruitment and onboarding of new employees where required.
- Working with the accounts team to monitor completed jobs, work in progress and outstanding invoicing.
- Producing weekly reports and information for the directors and management team.
- Helping develop and improve office procedures and company systems.
- Identifying issues within the business and taking ownership of finding solutions.
The Person
We are looking for someone who is confident, organised and comfortable working in a fast-moving environment.
The successful candidate should ideally have:
- Previous experience in an Office Manager, Service Manager, Service Coordinator or similar senior administrative role.
- Strong organisational and time-management skills.
- Experience managing multiple priorities and deadlines.
- Excellent telephone and customer service skills.
- Confidence dealing with customers, engineers, suppliers and management.
- Strong IT skills and experience using Microsoft Office and business management/software systems.
- The ability to manage and support other members of an office team.
- Good attention to detail and a strong understanding of the importance of accurate record keeping.
- The ability to work independently and make sensible decisions without requiring constant supervision.
- A proactive attitude and willingness to take responsibility for problems through to resolution.
Experience within plumbing, heating, construction, building services, property maintenance, electrical contracting or another trade-based business would be a significant advantage.
Knowledge of Gas Safe, MCS, air source heat pumps or renewable technologies would also be beneficial, although training can be provided.

This is not simply an administration position.
We are looking for somebody who wants to become a key member of the management team and who will take genuine ownership of the office function.
The right person will be able to look at the overall workload of the business, identify what needs attention and ensure that actions are completed without everything having to be referred back to the directors.
You will need to be comfortable working with engineers and project managers where priorities can change quickly and where good communication and organisation are essential.

Mittens Plumbing, Heating & Renewables provides plumbing, heating and renewable energy services throughout Sussex.
Our work ranges from domestic servicing and maintenance through to larger residential and commercial mechanical installations, including heating systems, air source heat pumps, underfloor heating, hot and cold-water services and renewable technologies.
