Coughtrie International — Hillington, Glasgow
Coughtrie International has been manufacturing luminaires for arduous environments since 1939. Part of the Indarra Group, a Scottish industrial group building a portfolio of specialist manufacturing businesses. We're now looking for a highly organised, dynamic Executive Assistant to support our Managing Director and Group Management Team.
This is a varied, hands-on role for someone with strong people skills and a proven ability to juggle competing priorities — no two days are the same.
Hours: 8am–4.30pm Mon–Thu, 8am–2pm Fri
Location: Full-time, office-based in Hillington — this role is not hybrid and there is no option to work from home. Occasional travel to other group sites is required, so a full, clean driving licence is essential.
What you'll do:
PA Support
- Act as central point of contact for the MD and Group Management Team
- Coordinate the MD's diary, travel bookings and administrative tasks
Operations Support
- Handle incoming calls, directing them appropriately
- Process sales orders, raise quotations, and manage incoming enquiries
- Greet visitors of all levels of seniority and host as required
- Support the development of policies and processes across the business
- Build product knowledge over time
HR
- Own day-to-day HR administration: staff handbook, annual leave, appraisals, training and sickness records
- Manage recruitment administration — offers, contracts, payroll liaison and induction
- Support escalated HR matters such as grievances and disciplinaries
Plus any other duties consistent with the role.
What we're looking for
- 3+ years' Executive Assistant experience, ideally within a technical SME
- A super-organised multi-tasker who thrives under pressure and stays calm when things get busy
- Confident working with people at every level of the business
- Excellent written and verbal communication
- Sharp attention to detail, sound judgement and good problem-solving instincts
- Discreet, with the ability to handle sensitive information appropriately
- Strong IT skills
- A friendly, proactive attitude and top-notch gatekeeping instincts
- Right to work in the UK is required
- CIPD qualification (or working towards) is an advantage
