Due to the nature of the events industry, some flexibility will be required, including occasional additional hours, evenings and/or weekends to support events and meet business needs.
Role Purpose
To take ownership of allocated events and deliver exceptional experiences across live, virtual and hybrid formats.
You will work closely with clients, colleagues and suppliers to ensure events are delivered professionally, safely and within agreed budgets and timescales, while providing an excellent level of service throughout the event lifecycle.
Key Responsibilities
- Manage a varied portfolio of events, including conferences, exhibitions, meetings, roadshows, product launches, awards dinners, congresses and team events.
- Attend and support site inspections, client meetings, supplier meetings and event delivery as required.
- Prepare, maintain and manage accurate event documentation.
- Build and manage event technology and digital products, including event websites, registration portals, virtual platforms and event apps using systems such as EventsAir and Cvent.
- Provide administrative and operational support to attendees, organisers, clients and suppliers before, during and after events.
- Ensure events are managed in line with GDPR, data protection requirements, risk assessments and other relevant legislation and company procedures.
- Work collaboratively with internal teams, clients and third-party suppliers to achieve the best possible outcome for each event.
- Manage and monitor event budgets, invoicing, payment terms and financial records accurately.
- Support the Events Director and wider management team with projects and departmental initiatives.
- Respond professionally and promptly to delegate enquiries by email and telephone.
- Anticipate project requirements, manage competing priorities and meet agreed deadlines.
- Identify challenges early and take a proactive approach to finding solutions.
How Success Will Be Measured
Success in the role will include:
- Contributing towards departmental financial targets.
- Delivering projects within agreed timelines and maintaining accurate time records.
- Maintaining high standards of quality, accuracy and legislative compliance.
- Providing consistently high levels of client and delegate service.
- Demonstrating proactive problem-solving, collaboration and effective communication.
- Taking ownership and accountability for allocated projects.
Working Environment
This is primarily an office-based role in Hinckley, with one day working from home available following successful completion of probation.
The role includes regular travel for client meetings, site inspections and events, which may occasionally require overnight stays.
As events can take place outside standard office hours, flexibility will sometimes be required to support early mornings, evenings or weekends.
You will be part of a collaborative and fast-paced environment, working closely with colleagues across different departments and with a wide variety of clients and suppliers.
Skills and Experience
We are looking for someone who can demonstrate:
- Previous experience managing events from planning through to delivery. Around three years' experience would be beneficial, although we welcome applications from candidates who can demonstrate equivalent relevant experience and capability.
- Experience using event management technology or platforms such as EventsAir, Cvent or similar systems.
- Strong organisational and time-management skills.
- The ability to manage several projects and priorities simultaneously.
- Excellent written and verbal communication skills.
- Confidence building relationships and working with a range of clients, colleagues, delegates and suppliers.
- An understanding of GDPR, data protection, risk assessments and relevant event considerations.
- A good technical understanding of virtual and hybrid event delivery, or the ability and willingness to develop this knowledge.
- The ability to remain calm, make informed decisions and solve problems in a fast-paced environment.
- A proactive, collaborative and client-focused approach.
We recognise that experience can be gained in different ways. If you meet many, but not necessarily every, requirement listed above and believe you could succeed in the role, we would encourage you to apply.
