Job Summary
We are now recruiting one Administration Manager to support our daily business operation. This role takes charge of full-spectrum administrative work including office & facility management, employee admin coordination, compliance system maintenance, dedicated admin support for service department and company fleet administration. Key Responsibilities
1. General Office & Facility Administration
- Oversee daily office operations, including incoming and outgoing mails & courier sorting, maintenance of office equipment and facilities; liaise with external vendors covering cleaning, security and fire protection services.
- Manage procurement of office supplies and warehouse maintenance expenses; coordinate warehouse maintenance matters and negotiate repair arrangements as required.
- Control daily office overheads: sort, verify and file utility invoices; Handle rent invoices, property management fees and related issues.
2. Employee Administrative Coordination
- Handle company credit card application & cancellation formalities and collect monthly expense receipts.
- Complete fixed asset handover for new joiners and departing staff, compile precise monthly attendance records, as well as collate and validate employees’ overtime logs.
3. Quality & Compliance System Coordination
- Cooperate with external providers to conduct on-site compliance work for ISO 45001 project.
- Maintain daily operation of ISO 9001 quality management system to sustain continuous compliance.
4. Administrative Support to Service Department
- Sort and archive official documents including job sheets, LOLER inspection certificates and CE compliance certificates, and monthly file all courier waybills and delivery slips.
- Receive and coordinate all purchase requests raised by Service Department.
5. Company Fleet Administration
- Take full administrative control of company vehicles: collect vehicle expense documents, follow up on traffic violation notices, complete vehicle compliance formalities and process vehicle insurance claims as required.
Job Requirements
- Minimum 3 years of working experience in administration execution.
- Familiar with office administration, fixed asset management, procurement and facility maintenance; prior experience maintaining ISO 9001 & ISO 45001 systems is a plus.
- Proficient in Microsoft Office Suite, capable of data sorting, report compilation and document filing.
- Strong communication and coordination skills, meticulous attention to details, ability to handle multiple tasks simultaneously, high sense of responsibility.
Pay: £35,000.00-£40,000.00 per year
