Since opening our first clinic in Oxted in October 2024, we have continued to expand, launching our Cobham clinic in May 2025 and our newest St Albans location in August 2026. As we grow, so does our need for talented, proactive people who want to grow with us.
We are now looking for multiple Patient Services Coordinators to join our growing team in Oxted.
This is much more than a traditional administration role. You will play an important part in coordinating the patient journey, supporting our growing ADHD and private GP services, and ensuring every patient receives a seamless, professional and compassionate experience.

The Role
As a Patient Services Coordinator, you will be one of the key points of contact for patients throughout their journey with Well Life Clinic.
From the first enquiry through to appointments, follow-ups and ongoing support, you'll help ensure that every interaction feels organised, personal and reassuring.
You'll work closely with our clinical and management teams while taking responsibility for coordinating important aspects of our patient services.
Your responsibilities will include:
Patient Journey Coordination
- Supporting patients throughout their journey with warmth, professionalism and empathy.
- Acting as a key point of contact for patient enquiries via telephone and email.
- Coordinating appointments, follow-ups and communications across our services.
- Ensuring patient records and contact information are accurate and up to date.
- Identifying and resolving issues proactively to ensure a smooth patient experience.
ADHD Patient Services
- Supporting patients throughout their ADHD assessment journey from initial referral through to follow-up.
- Processing referral information and maintaining accurate patient records.
- Making initial contact with patients and coordinating appointments.
- Managing follow-ups, onward referrals and prescription administration.
- Helping ensure patients feel informed and supported at every stage of their journey.
Service & Operations Support
- Working closely with clinicians and the Patient Services Lead and Clinic Manager to ensure services run smoothly.
- Using digital systems to manage appointments, records and patient communications.
- Responding confidently to patient queries and escalating complex matters where appropriate.
- Supporting the ongoing development and improvement of our patient services.
- Helping identify opportunities to improve processes as the business continues to grow.
Confidentiality & Professional Standards
- Maintaining the highest standards of patient confidentiality and GDPR compliance.
- Ensuring all patient information is handled sensitively and accurately.
- Supporting a safe, welcoming and professional clinic environment.
About You
We're looking for someone who is naturally organised, personable and proactive.
You don't need to come from a traditional healthcare administration background, although experience within healthcare or another professional service environment would be beneficial.
More importantly, you'll be someone who enjoys helping people, takes pride in getting things right and is comfortable managing multiple priorities in a busy environment.
You'll ideally have:
- Excellent communication skills and confidence speaking with people over the telephone and via email.
- Experience in a customer-facing, coordination, administration or service-based role.
- A naturally warm and professional approach with a genuine focus on customer and patient experience.
- Strong organisational skills and excellent attention to detail.
- The ability to manage multiple tasks and priorities independently.
- Confidence using Microsoft Office and online booking or CRM systems.
- A proactive mindset and the confidence to identify problems and find solutions.
- The ability to work independently while also being a supportive and collaborative team member.
Healthcare experience is desirable, but we welcome applications from candidates with strong experience in customer service, coordination, hospitality, professional services or other patient/client-focused environments.
Working Hours & Flexibility
This is a full-time position of 40 hours per week, worked on a rotational basis to support our growing patient services.
Your working pattern will include a combination of weekday, early, evening and weekend shifts, based on the needs of the service.
We understand the importance of maintaining a fair and balanced rota. Evening and weekend shifts are therefore allocated on a fair and equitable rotational basis across the team. You will not be expected to work every evening or every weekend.
Our service operates across the following hours:
- Monday to Friday: 7:00am – 8:30pm
- Early shift: 7:00am – 4:00pm
- Late shift: 11:30am – 8:30pm
- Saturday and Sunday: 8:30am – 5:30pm
