Works Coordinator – HVAC / Air Conditioning
Location: Bromley, Kent
Hours: 8:00am–4:00pm or 9:00am–5:00pm (Monday–Friday)
Salary: £30,000–£34,000 per annum, depending on experience

The Role
We're looking for an organised, proactive Works Coordinator to join our busy operations team. You'll be the vital link between customers, engineers, and suppliers — scheduling and coordinating installation, maintenance, and repair works from first enquiry through to completion and invoicing.
This is a fast-paced, hands-on role suited to someone who thrives on organisation, enjoys problem-solving, and is confident liaising with people at all levels.
Key Responsibilities
- Schedule and coordinate HVAC engineers across installation, maintenance, and repair jobs
- Act as first point of contact for customer and engineer queries (phone and email)
- Maintain accurate, GDPR-compliant records in the CRM system
- Track job progress from booking through to completion and invoicing, ensuring deadlines are met
- Prepare and issue quotations and invoices via Xero
- Liaise with clients on requirements and provide regular updates
- Produce RAMS and Permits using standard templates
- Chase outstanding quotations, reports, and remedial works
- Maintain tracker spreadsheets and ensure service standards are consistently met
- Issue F-Gas certification to clients where required
What We're Looking For
- Previous experience as a Service Coordinator, Scheduler, or Repairs Coordinator — ideally within HVAC, construction, or building services
- Confident communicator, comfortable managing customer and engineer interactions
- Proven ability to schedule workloads and adapt to shifting priorities
- Excellent organisational skills and strong attention to detail
- Self-motivated, with the ability to work independently in a fast-paced environment
- Experience preparing and following up on quotations (desirable)
- Proficient in Microsoft 365 (Word, Excel, SharePoint)
- Commercially aware, with a focus on efficiency and cost control
- Positive, flexible, and team-oriented attitude
