An opportunity has arisen for an experienced Chief of Staff to join a dynamic, growing residential care home company covering our currently operational and future homes in the Midlands region.
The successful candidate will collaborate closely with the wider executive leadership team to ensure the organisational agendas and priorities of the company are clearly defined, communicated, and progressed.
Key Responsibilities:
- Communicate between the MD, the CEO and wider organisation, ensuring consistency in providing relevant information.
- Lead the recruitment and administration team. This involves conducting various reviews and reports, daily, weekly and monthly such as recruitment league tables, dashboards and general update correspondence.
- Enforcement and oversight of the business administration pathway.
- Produce the Board Pack for the 4-weekly Board Meetings. Attend all meetings and present the staffing elements.
- Oversight and management of the staff HR System, Coolcare 4. Responsible for configuring all rotas, group and home setup functions, and managing system users.
- Oversight of rotas. Completing daily and weekly reviews, monitoring staff vs occupancy to ensure the appropriate team levels are scheduled.
- Detailed reviews of the timesheets and worked hours vs the budget.
- Monthly governance preparation. Working with the Managing Director to coordinate the monthly governance submission.
- Complete monthly staffing KPI data.
- Control the commissioning for onboarding homes. Completely weekly calls to lead the schedule and ensure progress is made accordingly. This includes arranging new supplier contracts, required equipment, software.
- Conduct regular visits to the homes and offer HR Clinics where appropriate.
- Arrange insurance and review quarterly sums insured are accurate.
- GDPR Lead. Ensure DSPTs are published for each entity and any Data Queries are handled appropriately.
- Lead recruitment for all Senior Positions within the organisation. Liaise with selected agencies; arrange and conduct interviews; provider offers to those successful.
- Personnel file audits. Complete both remote and in-person
- Co-ordinate the onboarding process for all Senior Positions within the organisation. New starter paperwork, contracts of employment, access to the appropriate systems.
- Key contact with the IT Supplier. Responsible for all hardware and software purchases. Permissions and access to mailboxes, distribution lists and shared drive.
- CQC Provider Applications, CQC additional location applications and management of notifications applicable to the provider or change in management. Support with the Provider Portal.
- Provide any administration duties required by the MD & CEO.
- Complete monthly annual leave reviews.
- Oversee the Indeed Account, effectiveness, reviews, and budgets used for adverts.
- General support to the organisation with HR and recruitment queries.
- Liaise with payroll.
- Facilitate staff appreciation initiatives.
- General support to the organisation with all day-to-day queries, such as Coolcare, IT, documentation. Providing support with excel documents.
- Liaise with accounts and provide approvals where necessary.
Person Specification:
- Dynamic, organised, efficient and ability to assess workload and priorities.
- Previous experience within a residential care home organisation.
- Experience directing and organising a team to deliver strong results.
- Track record achieving KPI’s.
- Experience providing a HR function.
- Experience overseeing and implementing recruitment strategies.
- Exceptional IT skills, including a strong understanding of Microsoft Excel.
- Ability to articulate themselves well and can build relationships at all levels.

Pay: £60,000.00-£70,000.00 per year
