Key Tasks & Responsibilities
Front of House & Visitor Experience
· Front of House Operations: Act as the first point of contact for visitors, employees, customers and suppliers, delivering a professional, welcoming and positive experience at all times.
· Reception Services: Manage reception activities, including handling telephone enquiries, greeting visitors and responding to general enquiries promptly and professionally.
· Visitor Experience: Coordinate visitor hospitality arrangements, ensuring guests are welcomed, supported and provided with a positive experience during their visit.
· Reception Environment: Maintain a clean, organised and professional reception area that reflects the company's values and standards.
· Visitor Management: Administer visitor sign-in processes and ensure compliance with site security and visitor management procedures.
· Meeting Facilities Coordination: Manage meeting room bookings, ensuring rooms are appropriately prepared, equipped and ready for use.
· Visitor Parking Management: Coordinate visitor and guest parking arrangements to support a smooth arrival experience.
· Telephony Administration: Manage incoming switchboard calls, triaging enquiries and directing communications to the appropriate individuals or departments.
· Postal & Delivery Services: Coordinate the receipt and distribution of incoming post, parcels and deliveries across the business.
· Outbound Mail Administration: Manage outgoing post, parcels and product samples, ensuring timely and accurate dispatch.
Office, Hospitality & Supplies Administration
- Office Supplies Management: Maintain stock levels and coordinate ordering and replenishment of kitchen refreshments, stationery, office supplies and employee welfare consumables across all sites.
- Hospitality Coordination: Manage weekly staff lunch orders and coordinate catering arrangements for training activities, meetings and visitor events.
- Inventory Control: Monitor stock usage, maintain inventory records and ensure cost-effective purchasing and supply management practices.
People Administration
· People Department Inbox Management: Overseeing and responding to employee and business enquiries, ensuring prompt resolution of concerns for all staff.
- Absence Administration: Administer absence reporting processes, recording and communicating absence information received via telephone and email in a timely manner.
- Onboarding & Offboarding Support: Coordinate administrative activities relating to employee onboarding and offboarding, ensuring a positive and compliant employee experience.
- Learning & Development Administration: Support the delivery of training and development activities through scheduling, coordination, communication and record management.
· Uniform & PPE Administration: Manage uniform ordering and inventory administration, maintaining accurate records and ensuring timely provision to employees.
· People Reporting & KPI Tracking: Maintain departmental trackers, key performance indicators and management reports, supporting accurate data analysis and reporting.
· Employee Feedback & Engagement Activities: Coordinate surveys, feedback initiatives and data collection exercises, collating and communicating insights where required.
· People Projects & Continuous Improvement: Support People & Culture projects and departmental process improvement initiatives, contributing to enhanced employee experience and operational effectiveness.
· Additional Responsibilities: Undertake other administrative duties and assignments as reasonably requested by the People & Culture Manager.
Pay: £28,000.00-£31,000.00 per year
