We are now looking to recruit a Front of House Receptionist for our prestigious Harley Street Clinic. The right candidate will have excellent customer service skills having previously worked in 5* high end service.
This Front of House role means you will be the first person to greet our clients on arrival at the Clinic. There is, therefore, a requirement for you to always be presentable, delivering an impeccable 5* customer service. You will need to have outstanding customer service skills and be able to communicate clearly and effectively with clients, practitioners, and colleagues. Your role will ensure the smooth running of the front of house and reception area, acting as a key first impression and advocate of The Cosmetic Skin Clinic and The Private Clinic at all times, anticipating and responding to client, doctor and staff requirements, managing these efficiently and in a professional manner.
You will be working in a busy service environment which requires consistency in customer service and being able to work well under pressure.
RESPONSIBILITIES
- Meet and greet Excellence: As the first point of contact for our clients, exhibit exceptional welcoming customer service skills to greet and assist patients and visitors with warmth, empathy and enthusiasm. Set a positive and inviting atmosphere from the moment client arrive, ensuring they feel valued and comfortable throughout their experience at The Cosmetic Skin Clinic and The Private Clinic.
- Ensuring a high standard of presentation is maintained in all patient common areas; to include building entrance, hallway, reception, waiting room and toilets and report any faults or risks to the FoH Supervisor.
- Chaperone clinic visitors to relevant department, where required apply creams as instructed by clinician. You will need to be comfortable with carrying out this task and talking professionally to the client whilst you do so with the utmost sensitivity and care.
- Utilise our appointment booking system for appointments and payments and the completion of patient details.
- Responsible for taking payments from patients, ensuring company policies and procedures and security standards are complied with, to include receipt of payments, cashiering and banking, refunds, petty cash and invoices.
- Ensuring conversions are updated correctly throughout the day.
- Responsible for the co-ordination of patient files for daily clinics.
- Responsible to ensure patient complaints are reported to the FoH Supervisor.
- Answer all incoming calls to the reception desk within service levels set.
- Open and closing the clinic and ensuring the Clinic is ready to welcome patients.
- Sundry duties to include sorting post, receiving & recording deliveries.
- Ensure consistent compliance with company policy and procedures related to the role.
- Act as chaperone support as required by practitioners.
- Use own initiative to manage day to day challenges and issues arising.
- Undertake all required training and development required for the role and ensure it is updated accordingly
ADMINISTRATION
- Prepare clinic notes on a daily basis, as required.
- Booking travel & accommodation for patients, staff and practitioners where required.
- Health and safety duties ensuring checks and audits are completed correctly and efficiently.
- Responsible for ordering consumables and refreshments, as required.
- Inform FoH Supervisor of any order requirements in a timely and pro-active manner to ensure maintenance of stock levels.
- Any other duties as required by the company.
SKILLS REQUIRED
- Previous customer service/Front of House experience within a high-end, premium service industry such as Luxury Hotels or other premium private healthcare provider.
- Previous cashiering experience
- Excellent organisational skills
- Good knowledge of IT systems
- Good written and spoken communication skills
