Job Overview
We are seeking a highly organised and proactive Administration Assistant to join our team. This role involves providing essential administrative support to ensure the smooth operation of our office. The successful candidate will be responsible for managing various clerical tasks, maintaining efficient office procedures, and assisting with day-to-day activities. Prior office experience and strong computer skills are essential to excel in this position.
Duties
- Managing incoming calls with professional phone etiquette and directing them appropriately
- Organising and maintaining physical and digital files to ensure easy retrieval of information
- Performing data entry tasks accurately using Microsoft Office, Google Workspace, and ERP Systems
- Assisting with scheduling appointments, meetings, and maintaining calendars
- Preparing correspondence, reports, and other documents as required
- Supporting team members with administrative tasks such as photocopying, scanning, and mailing
- Ensuring the office environment remains tidy and well-organised
- Handling basic bookkeeping tasks and expense tracking using QuickBooks
- Providing general administrative support to various departments as needed
Requirements
- Proven office experience or administrative experience is preferred
- Strong computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent organisational skills with the ability to prioritise tasks effectively
- Good typing speed and accuracy for data entry purposes
- Demonstrable knowledge of clerical procedures and office management systems
- Strong phone etiquette and communication skills
- Ability to work independently with minimal supervision whilst maintaining attention to detail
- Familiarity with ERP systems or similar accounting software is a plus
- Ability to adapt quickly to new software or procedures as required
