Veterinary Administration Coordinator
Wye Valley Vets is recruiting a Veterinary Administration Coordinator for the exciting opportunity to blend active, front‑of‑house reception duties with comprehensive office administration. This hybrid position is central to the smooth running of our busy, dynamic practice in a non-clinical role.
Key Responsibilities
· Reception and client support: Greet clients, manage incoming calls with professional phone etiquette and direct enquiries appropriately. Write and respond to emails with accuracy and efficiency. Book and confirm appointments, process payments and issue receipts.
- Records and information management: Maintain accurate electronic and paper records, manage information storage and retrieval.
- Staff administration: Create and manage staff rotas, coordinate annual leave, DIL, sickness cover plus ad hoc shift changes.
- Insurance and policy administration: Maintain insurance records, process claims and liaise with insurers and clients.
- Office systems and compliance: Support the RCVS and other regulatory record keeping bodies through preparing paperwork for differing scenarios.
- Stock and supplier administration: Monitor stock levels, place orders and manage deliveries.
- Communications and online presence: Handle client and trade communications with proficiency.
- Update the practice website and manage social media.
· General office duties: Prepare and organise paperwork, reports and correspondence including filing, invoices, insurance documents and other administrative tasks as required.
- Ensure the office environment remains organised and efficient
- Collaborate cooperatively with team members to maintain and improve administrative processes.
Person Specification
- Excellent customer service skills: Proven office experience with strong organisational skills and a calm, professional manner under pressure.
- Strong organisational ability and thorough attention to detail.
- Confident with IT and office systems: quick to learn practice management software.
- Reliable, discreet, and professional when managing confidential information.
- Able to prioritise and multitask in a busy environment.
- Team player who enjoys varied administrative work.

Practical Details
- Hours: 40 hours per week (5 days a week with a DIL for rota’d Saturdays)
- Salary: £28,500 per annum
