- Wednesday: 9:00am – 9:00pm
- Friday: 8:00am – 8:00pm
Job Purpose
The Receptionist / Day Support Worker is responsible for ensuring the smooth day-to-day running of the reception area and assisting with the daily operational needs of the hostel. The post holder will provide a welcoming and professional first point of contact for residents, visitors, contractors and external agencies whilst maintaining the organisation and security of the project.
The role also includes supporting staff with administration, ensuring essential paperwork is completed, and assisting in maintaining the efficient operation of the hostel.
Main Duties and ResponsibilitiesReception Duties
- Welcome all visitors, residents and professionals in a friendly and professional manner.
- Answer incoming telephone calls and take accurate messages.
- Respond to emails where appropriate.
- Maintain visitor signing-in and signing-out procedures.
- Monitor CCTV where required.
- Ensure all visitors follow SPIN procedures.
- Report any concerns immediately to senior staff.
- Maintain confidentiality at all times.
- Keep the reception and office areas organised and presentable.
Administration
- Maintain resident files and ensure paperwork is completed correctly.
- File documentation accurately.
- Print all required daily forms for staff.
- Ensure adequate supplies of all paperwork are available.
- Update noticeboards when required.
- Record deliveries and food donations.
- Assist with data entry and record keeping.
- Maintain office stationery supplies.
Daily Operational Responsibilities
Ensure the following paperwork is available and completed where applicable:
- Staff handover sheets.
- Daily handover records.
- Staff sign-in and sign-out sheets.
- Room check sheets.
- Shower and washing machine monitoring sheets.
- Incident report forms.
- Accident report forms.
- Maintenance reporting forms.
Ensure the following administrative tasks are completed:
- The black resident information folder is accurate and up to date.
- The front office diary is updated and all relevant information has been communicated to the appropriate staff members.
- Residents are informed of any appointments they have scheduled.
- Food donation records are updated whenever donations are received.
- Maintenance issues are recorded and reported promptly.
- Contractors and visitors are signed in and out correctly.
Resident Support
- Welcome new residents to the project.
- Signpost residents to appropriate support staff.
- Monitor resident wellbeing and report any concerns to senior staff.
- Promote a welcoming, respectful and positive environment.
- Assist residents with general enquiries where appropriate.
Health & Safety
Carry out routine checks to ensure:
- Fire exits remain unobstructed.
- Visitor procedures are followed.
- Health and safety concerns are reported immediately.
- Security of the building is maintained.
- Any accidents, incidents or safeguarding concerns are reported promptly and recorded appropriately.
Communication
- Attend staff handovers.
- Communicate effectively with colleagues.
- Report safeguarding concerns immediately.
- Escalate incidents to the Project Manager or senior member of staff.
- Maintain accurate written and electronic records.

Desirable
- Experience working within homelessness services.
- Knowledge of safeguarding procedures.
- Knowledge of Health & Safety legislation.
- Experience working with vulnerable adults.
- First Aid qualification.
- Mental Health Awareness training.
- Food Hygiene Certificate.

Pay: From £12.71 per hour
