We are seeking a proactive and highly organized Personal Assistant to support our Managing Director in a dynamic and fast-paced environment. Responsibilities
- Manage and coordinate the Managing Director’s calendar, including scheduling meetings, appointments, and travel arrangements with precision and foresight
- Prepare and organize documents, reports, presentations, and correspondence using Microsoft Office and Google Workspace tools
- Handle incoming calls with professionalism, demonstrating excellent phone etiquette while directing inquiries appropriately
- Perform data entry tasks accurately, maintaining up-to-date records and files in compliance with organizational standards
- Assist with administrative tasks such as filing, photocopying, scanning, and maintaining shop /cafe supplies to ensure smooth daily operations
- Support special projects by conducting research, compiling data, and preparing summaries or reports as needed
- Liaise effectively with internal teams and external contacts to facilitate communication and operational efficiency. Daily meetings
Experience
- Proven administrative experience supporting senior executives or management teams in a fast-paced environment
- Strong organizational skills with the ability to prioritize tasks effectively and manage multiple responsibilities simultaneously
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive, Calendar), and familiarity with QuickBooks or similar accounting software is preferred
- Excellent typing skills coupled with keen attention to detail for accurate data entry and document preparation
- Demonstrated professionalism in phone etiquette and interpersonal communication skills
- Office experience involving clerical tasks such as filing, scheduling, and record keeping is essential
- Ability to adapt quickly to changing priorities while maintaining a positive attitude
