Key Responsibilities:
As an Administration Assistant, you will play a crucial role in ensuring the smooth operation of our offices and supporting our dynamic team. Your responsibilities will include:
- Telephone Management: Skilfully manage incoming calls, ensuring a courteous and professional demeanour in all interactions.
- Project Administration: Creating and maintaining a digital record of client projects and faults using internal management software (Sage 50).
- Diary Coordination: Efficiently organize and manage diaries for engineers and Directors, optimizing scheduling and time management.
- Logistics Coordination: Arrange courier deliveries and collections to facilitate timely material movement.
- Purchase Order Processing: Collaborate with suppliers to process purchase orders for materials and coordinate deliveries.
- Client Interaction: Serve as a key point of contact for clients, logging fault calls and coordinating service visits with a client-centric approach.
- Document Management: Assist in collating paperwork from engineers and preparing documents for client communication.
- Administrative Support: Contribute to administrative tasks related to quotations, tenders, and account management.
- Maintenance Visit Scheduling: Booking and maintaining a record of regular maintenance visits as per client contract requirements, producing follow up remedial quotations from Engineer paperwork.
