Ben Cohen Osteopathy is an established private healthcare provider with four clinics across Epping, Loughton, Chigwell and South Woodford.
Our multidisciplinary team provides osteopathy, physiotherapy, diagnostic musculoskeletal ultrasound and shockwave therapy, delivering high-quality care in a professional, friendly and patient-focused environment.

We are looking for an experienced Medical Receptionist & Practice Coordinator to become the first point of contact for our patients and play a key role in the day-to-day running of our clinics.
Working Pattern
- Monday: 8:00am – 6:00pm
- Tuesday: 8:00am – 6:00pm
- Wednesday: 9:00am – 5:45pm
- Thursday: 9:00am – 5:45pm
- Friday: 9:00am – 3:15pm
The Role
As our Medical Receptionist & Practice Coordinator, you will be the first point of contact for our patients and an integral part of our multidisciplinary team. You will coordinate appointments across four clinics, support our practitioners and help ensure the smooth day-to-day operation of the business. We're looking for someone who enjoys taking ownership, uses initiative and is passionate about delivering an exceptional patient experience.
Key Responsibilities
- Welcome patients in a professional, friendly and caring manner.
- Answer telephone, email and online enquiries promptly and professionally.
- Book, amend and cancel appointments across all four clinic locations.
- Coordinate practitioner diaries and maximise appointment utilisation.
- Manage waiting lists and short-notice appointment availability.
- Process patient payments and issue receipts.
- Process invoices for private medical insurance providers and submit claims accurately.
- Liaise with private medical insurance companies regarding invoice and payment queries.
- Support the administration of diagnostic ultrasound and shockwave clinics.
- Maintain accurate patient records and ensure GDPR compliance.
- Monitor clinic presentation, stock levels and maintenance requirements.
- Undertake occasional visits to our other clinic locations.
Essential Requirements
- A minimum of two years' experience working as a Medical Receptionist or Healthcare Administrator. Applications without previous medical receptionist or healthcare administration experience will not be considered.
- Excellent customer service and communication skills.
- Outstanding telephone manner.
- Excellent organisational skills with a high level of attention to detail.
- Ability to prioritise a busy workload and work using your own initiative.
- Professional, reliable and approachable.
- Confident using computer systems and learning new software.
- Full UK driving licence and access to a vehicle for occasional travel between clinics.
Desirable Experience
- Experience within private healthcare.
- Experience using Cliniko or similar practice management software.
- Experience processing invoices for private medical insurance providers.
- Knowledge of musculoskeletal healthcare.
