As an Export Sales Administrator, you will provide comprehensive administrative, operational, and compliance support to the Export Director and Export Sales Manager in managing day-to-day export operations.
This role is essential in ensuring efficient order processing, accurate documentation, regulatory compliance (MHRA), and seamless coordination across internal and external stakeholders to support timely global order fulfilment and business growth
Key Responsibilities
- Support Export Director and Export Sales Manager in daily operational and commercial activities
- Prepare customer quotations, tenders, and monthly price lists
- Assist in maintaining pricing accuracy
- Support sales pipeline administration and order progression tracking
- Prepare Sales Order Processing Notes (SOPNs) for all customer orders
- Ensure timely and accurate processing of export orders from receipt to dispatch
- Prepare and maintain all export documentation based on country-specific requirements.
- Ensure accurate and complete export files for every shipment
- Support Export team in maintaining regulatory readiness and documentation accuracy
- Assist in internal and external audits of export processes as required
- Engage with internal departments (warehouse, QA, procurement, logistics) for smooth pre and post order execution
- Liaise with external stakeholders (freight forwarders, suppliers, customers) to ensure timely processing
- Support resolution of operational issues including delays, discrepancies, and documentation gaps
- Maintain and regularly update export trackers
- Identify process gaps and support continuous improvement initiatives
- Support Export Sales team in ensuring full alignment with MHRA regulatory requirements
- Assist in maintaining documentation accuracy and audit readiness
- Ensure export records are complete, traceable, and compliant at all times.
